here in baltimore we use a lot of binders (mostly because we're in the midst of trying to translate this system to an electronic one)
we have the following
a master bike inventory. a build-a-bike inventory (project) a shop bike inventory (bikes that pay the rent)
each bike that gets checked in gets an unique number that is recorded in the master one. (it's sequential... which also helps us determine how many bikes we've processed since we've adopted this system.)
each of these bikes have a checklist of stuff to do. it's pretty standard, and when I get to work tomorrow I can upload it. it's not the best one tho (please have the colorado collective chime in since theirs are AWESOME) they also have an info sheet that records wheel/frame size, etc.
if it's deemed for personal projects (build a bike) it gets a B prefix to it if it's for shop, it gets an S.
each of these tags are written on colored tape thats taped to the bike.
so for example, all of our bikes have numbers like s-1425 or b-1423. they then can be referenced in the appropriate book.
eventually, we'd like a simple application that will enable us to enter this info and then do searches like, "give me red bikes that are 52cm with cantilever brakes."

Checking various ones in the Washington DC area, only Mount Rainier Bike Coop (MRBikeCoop.com) uses paper tages.
Phoenix has an old computer system, but actually locating the bike as it moves around the shop, seems difficult as shop inventry moves outside each open day...

shop,
we had constant troubles keeping member's project bikes tagged with basic info, if at all. I think your system will have to be designed to be as
easy
as possible to use by your volunteers/staff and you may want to discuss

to avoid not tagging correctly and what happens in that case ect.
I have never done this but two ideas spring to mind. Use multiple tags
that
can be put together to make the entire description, one card for wheel
size,
one for frame size... This would not work too well for describing work
that
needs to be done, you would have to make a grading system or tag parts of the bike that need repair. The other would be to implement a software database and print up numbers. You would be able to store whatever information you wanted and it would even be searchable. You would also
have
a historic record of bikes that have gone through the shop. After we
finish
(and start) work on the website, this is something I'm hoping to put into
a
much larger application but will certainly be far off in the future.

Do any of you wonderful shops out there have a usable bike inventory tag

could share with us at MoBo? We're trying to design a tag for available project bikes in our basement that would list basic info like top tube length, wheel size, etc. etc. and notes about work needed -relevant info
for
members sifting through potential projects and then recording work done
over
the course of the project.
If you have something that's worked for your shop or a document from
another
source and would pass it along, we'd be grateful. Advice on things to include would also be helpful.
