Advocacy Resources Produced/Used by Community Projects
Some folks associated with MoBo Bike Co-op in Cincinnati are trying to put together bicycle advocacy resources into a sort of advocacy toolbox. Our goal is to produce something that could be used to equip or incite community members to do advocacy work/build community around bikes.
I'm curious if any shops out there like ours have produced anything like this, and could share advocacy resources/ideas they have used. Those of you who do advocacy work of any kind: what resources/documents/actions do you use? Are community projects, specifically co-ops, producing anything of their own or simply borrowing resources from traditional advocacy organizations/clubs?
In the spring we'd like to begin doing some off-site advocacy "workshops"- essentially group events with cyclists and community members who aren't currently connected with our shop community in which we'd provide resources and/or trainings on topics like 'how to organize group rides', 'advocating for better bike laws and planning in your community', 'encouraging new riders', etc.
Any resources, ideas, tips you could pass along would be well-appreciated! Thanks.

The key factor is that it is just like editing wikipedia, which if you haven't done, you just need to click on the little 'edit' links to the right of each section -- add text -- click save. If you don't want to deal with the recaptcha anti-spam widget -- create an account and log in. Don't worry about the wiki syntax, just concentrate on the content -- others and myself go around from time to time and clean the syntax up.

of researching options for a new POS system for our space and thought
I'd throw it out to this great resource.
What POS systems do you all use To inventory and track sales of new and used parts? Use of the shop? Project Bicycles, Earn-a-Bike bicycles? Work trade? Do any of you have one system that does it all?

We use one that an ex-volunteer created using php. It does pretty much everything that you listed but is currently not very user friendly or easy to deploy. I've been planning to see if I can get some folks together to create new, more stable software that will hopefully work for us all. In the meantime, if you (or anyone else) would like the use of the Bike Tree, I would be happy to send you the software and help deploy it. We have a short description on our wiki.

We bit the bullet and just paid for Quickbooks POS, Costco had the package (drawer, scanner, receipt printer) for $1600. I have also seen it for sale on techsoup.org for $80 ( http://home.techsoup.org/stock/pages/product.aspx?id=G-41216), but you would probably need to track down all the hardware.

I believe we are using a forked version of freehub to track hours/visits. However, this doesn't track money or inventory, ect.

We use Merchant OS which is great for not only regular retail, but we are also able to track all our donated bikes. We can categorize which go to EAB, retail, or scrap, and then connect all that info to our Quickbooks to get a pretty accurate read of how we are doing on the retail *and *program side. Also, Merch OS is always available to help if you have a question, which has been a lifesaver!
We use Volunteer Impact for volunteer shift sign-up and tracking hours. This system is not very user-friendly, for the shop or the volunteers, and I wouldn't recommend it.
But between all these programs we have cobbled together a system that works reasonably well.

Have you figured out a way track each bike instead of EAB, RECYCLE, RETAIL. Id like to track each bike that comes in and then email the donor with a idea of what happened to the bike. But we are talking about 3-4k bike a year.
We use Merchant OS which is great for not only regular retail, but we are also able to track all our donated bikes. We can categorize which go to EAB, retail, or scrap, and then connect all that info to our Quickbooks to get a pretty accurate read of how we are doing on the retail and program side. Also, Merch OS is always available to help if you have a question, which has been a lifesaver!
We use Volunteer Impact for volunteer shift sign-up and tracking hours. This system is not very user-friendly, for the shop or the volunteers, and I wouldn't recommend it.
But between all these programs we have cobbled together a system that works reasonably well.

Thanks everyone for the replies! This Merch OS looks promising!
Currently for our shift scheduling we use shiftboard. We have a basic
service, so it doesn't allow folks to sign-in for shifts, but we may
upgrade to do that. It's $65/month. Some people hate it, some refuse
to use it, but it does work. and they have a smartphone app.

One thing I would like to point out is that a POS can record cash transactions, but they can also provide an easy way to take credit card. Despite the fees, which we adjusted our prices for, our revenues jumped up once we started accepting credit cards via the POS.
We looked into writing our own open source solution, but it didn't make sense for multiple reasons, given the current open source solutions, hardware compatibility issues, and the fact Quickbooks POS is only $80 from techsoup.

- Important for us to partner with local bicycle shops for support
- Easy, and how does the LBS support your community shop (financially, parts

- I think it is important because the LBS can offer help with bike
maintenance questions, have kids into the shop for a short lesson, and to purchase parts and tools at wholesale cost if you do not have an account with a distributor. The LBS may be able to offer volunteers for your bike collective's programs and events (e.g. if you want to do a bike-a-thon fundraiser). The LBS can also partner with you for mini-grants such as the Specialized grant (in-kind).

If you have program tshirts, I think it's nice to put the LBS's logo on
the shirts for some PR. The LBS can benefit if people in the community hear about their support of your program through newspaper articles, letters to the editor, and newsletters. If you have volunteer/partner appreciation nights where they can see the program's successes, this can help keep LBS's excited about your collective.
- We have in-kind support from our local Lowe's and a grocery stores, but
no memorandum of understanding - I bring donation letters in, and they have gotten to know our program well and can usually help out. We get food, simple green, basic tools and lumber from these places. I approach local businesses with an elevator speech about the program, a letter, and then I follow up with a thank you letter. When our website is up, I will approach these businesses and offer them a spot on our main page in return for a memorandum of understanding (monthly support).
