Volunteer perks and parts
Hey all,
We are looking into providing discounts on new parts (special order opportunitys) for our long term volunteers. Does anyone else provide this?
If so, how does that work for you? How do you track the hours and the volunteers that are able to have this perk? Have you had any problems or people taking advantage of this?
What other kinds of perks do folks provide to volunteers? Different levels of volunteering get different perks?

At our shop we have a category for our long term volunteers we like to call keylist volunteers. The keylist voulnteers have the privelege of having a key card to the shop to have after hours access as well as be able to order from our distributors at cost.
Aggreed upon conditions include signing a keylist contract and a mandatory amount of volunteer time monthly. For us this ends up being about 10-15 hours per month.
As far as abusing the priveleges go, keylist volunteers are able to order as much as they want as long as it is for themselves and not other people or being sold. In my experience, I have had close enough contact with our keylist volunteers to detect this sort of abuse if any. If there ever is a problem, you could always revoke these very valuable priveleges.
Since bikerowave is volunteer owned/ operated volunteers who have been there a month or so, who are in good standing, and who maintain 12 hrs of volunteering a month get free stand time, access to our Friday volunteer only shift, and receive a discount of 45% off new and used items (10% above cost). They can purchase from what we have in stock or order from a distributor. They also have the option of consigning complete bikes through our shop ( a limited amount per year and a limit of 1 month for the consignment, with 10% to the shop). There are additional perks as well but those are the most utilized. We have at least one head mechanic on each shift (a key holder who knows how to deal with cash etc). They are responsible for posting a shift report that includes all volunteers for a shift and be amount of hours contributed. Additionally folks who do odd work not during the shift self report. It's not perfect by far but volunteers are encouraged to check the forum and make sure their hours are properly given. Additionally we offer the same discounts to other local bike coops. They give us a monthly list of their membership.

I know that some wholesalers do not allow special orders for people that aren't "employees" and the situation can get a little sticky. Sometimes it can also get a little tricky when you have a bunch of different people ordering all sorts of different stuff. We've kind of gotten around this by creating a list of parts that we came up with "The Chain Gang Order List" with about 50 of our most popular items. This has also helped out with people ordering stuff that doesn't end up working out. We tried to make sure everything on the list was very high quality, functional, and sustainable. Volunteers who have given enough time (and continue to give) receive cost plus 10%. So far it has been working much better than letting people roam the catalogs at will, often times getting in over their head.

Bike Farm is 100% volunteer run and one of our "volunteer incentives" is that you get access to special orders. All you need to do is volunteer consistently for a few months - around 16hrs/mo. There is a spending cap and the price volunteers pay is cost + 10%. The exact details escape me, but it's right around there. We don't enforce volunteer hours or anything like. It's easy to spot who the regulars are. We also give out shop keys to long-term volunteers via a nomination process. Basically, an existing volunteer nominates a newer volunteer at a monthly meeting and a vote is taken. Consensus is required for a key to be given out. This has worked very well for Bike Farm and generally only people who open shifts have keys.
