rewarding volunteers & members/discounts on bike parts
At the Des Moines Bicycle Collective, we're reviewing our volunteer and member guidelines for special orders of parts and bike tools.
Currently, we offer cost plus 30% on orders, which we believe matches what most cyclists could find on Internet sites. Typically, it's replacement bottom brackets, upgrades to fenders, handlebars or derailleurs. We get some Park tools ordered after completing maintenance classes.
Our members ($40 annual membership) can quality for up to cost plus 10%. There is no threshold of volunteer hours for this discount, which is probably worth a second look.
I see that at Community Cycles in Boulder, volunteers need to book 100 hours before earning an increased wholesale benefit (no hint of percent not noted on website).
What's working for your nonprofit while maintaining good relationships with your local bike shops?

To the rest of the public we offer new products at double cost ( which seems to be what most msrp are with the exception of a few products that we want to encourage people to buy and wheels. For most products we don't charge less than local shops do and often refer someone to a local shop. How do u track volunteer hours...that's another thread for later but please contact me directly if one has super amazing idea on managing volunteer hours.
Pirates gives our volunteers cost plus 13% tax. Bike shops do know and will not know. Our distro companies know and they approve....word it like this....it's a way to your volunteer labour. At re-Cycles casual volunteers get a card that we stamp for each hour they give us. Their sole reward from this is equal hours of free shop time. The cumulative hours are added to our automated stats form, which will show us total volunteer hours for a given month / year / etc.
Currently only our volunteer staff (those that commit to running the shop) get parts ordering privileges (cost plus tax). We don't sell new parts to the public, aside from cables and housing, so we only order new parts to help complete our donated bikes, and staff can add on to that order.

To track hours each shift has a head mechanic who opens the shop, does the money bit, and writes down who is there and for how long. We have a forum for our volunteers and one section is for shift reports, on top of reporting on the general happenings of the shift and the money brought in it lists who volunteered and for how many hours. once a month a person will plug the numbers into a google spreadsheet and highlight those who have done more than 12 in that month. these are the cooperative members of the shop and are eligible for the discount. I should mention that we offer the same discount to other local bike co-ops who don't have distributor accounts of their own. Once a month they send us a list of those who have volunteered enough at their shop, these people are then also eligible for the same discount. -Enzo

I was surprised at some of the discounts offered to volunteers. We always do what we can to reward our more active volunteers but I try to avoid the risk of taking business away from retail shops. If someone volunteers for 20 hours and you sell them something at cost that should be $400, you have paid them $10 an hour in a round about sort of way.

Different strokes for different folks. Most of the folks taking advantage of our discounts are long-term volunteers, so the roundabout payments would be a matter of cents per hour, if that..
Plus, most of the stuff our volunteers buy isn't something that most of our LBSs have in stock, and our hearts don't bleed much for taking business away from the online warehouses.
