Salesforce with the nonprofit plugin. Powerful, quirky, most folks can use it, though did I mention quirky? We track volunteer hours, and even easily enough Earn a Bike credit/debit. I'm also happy to hear about donor management/CRM and any other software which makes your organization run smoothly. *Longer message*: Common Cycle in Ann Arbor, MI is working to transition from mobile operations to a fixed space. To prepare, we want to get a grasp on who our volunteers are, how much they volunteer, how we can help them volunteer more, etc etc. Currently we create event sign-ups in Google Sheets and event check-ins in Google Forms. It seems that a volunteer management software would be the best solution to manage our people as we expand. Refunds

At Back2bikes we do not give refunds on bikes but allow people to trade up within a month We offer no warranty but will fix a bike within the first month if there are any issues such as brakes or derailleur slippage or any serious issues. Regarding second hand parts we generally sell them to people who seem to be aware of what they are buying and explain that they are cheap and that it is buyer beware. With new parts we abide by Australian law which states that the part must be fit for use. We generally offer to exchange or refund if the part is faulty or unfit for purpose. I would make the comment that we are a self funding community organization so often our buyers are also donors. Our policy is therefore to err on the side of generosity particularly when dealing with clients who are obviously in need of assistance. Our Co-op sells used parts and a select amount of new parts, mostly consumables and commuter level wheels, etc. Does anyone have a refund policy that they would like to share? Caveat emptor(let the buyer beware) is established common law. Refunds are a courtesy extended to the buyer to promote goodwill. At 3rd Ward Bike Shop, it comes down to the question, "Who is at fault?" If a staff member sold a part, new or used, that did not fill the need or correct the problem, then we exchange for the correct part. If a new part is flawed or fails due to manufacture defect, we replace the part. If we can not satisfy the client, because we do not have the part/solution at hand, we refund his money. Car sharing in community

Hello TheThinkThank, maybe a bit weird subject as we are talking about bikes most of the time, but we just bought an old van so we can transport many bikes and sounsystem on tricycle and stuff from and to our voluntary bike coop, Bikekitchen Bratislava in Slovakia. We are now lookiing for some policy for sharing the car in our community, even though we trust each other we would like to have some rules so everything will work fine. We expect three kinds of use - mostly use for purposes of our bikekitchen, then renting it to friendly coops and then personal use of our core members. Does anybody have any experience with that? Hey folks, I'm looking for some people to start beta testing a new site that I've been working on: https://workbench.bikecollectives.org/ The site contains mockups and translations for Bike!Bike!but will also be used for bikecollectives.org once development starts on the new site.The current feature set includes the ability to edit English copy, add or edit Spanish and French Translations, and comment on page designs. I've already added all the users who attended Bike!Bike! 2016, but if I missed you or you didn't attend last year, either email me directly or use the access request interface which you will see once logging in. Please note that editing this copy will not change the live site but will be queued to be deployed at a later date, so if you mess around please put things back or let me know if you run into troubles. Feel free to make actual improvements to copy where you see fit. In any case, I'm looking for feedback, feature requests, and of course bugs. I've been notified that if you are a US citizen crossing the border in Canada and you tell them you are going to give a workshop, they can require that you get a work visa. Women, Trans, Non-binary Shop Times

Hi All, After 10 years of teaching time that serves everyone B!KE is finally endeavoring to carve out a space just for women! We have often managed to strike a pretty excellent gender balance in the shop but interestingly recent growth has the shop feeling very male dominated. We are adding a bunch of hours for the on season and planning to make some of that time specifically for women. As a cis-gendered female mechanic, I feel pretty confident about hosting space, and defending the need of a space, that is for women only. I know that many other shops combine their women only time with trans/non-binary/femme time and I am feeling a bit concerned about a few things. How do you addresses these things: 1) Why combine these two groups? Don't they have different needs? 2) Do trans & non-binary people get their needs met? Or are they still second to women? 3) How much time is spent explaining gender identity and pronouns to baby boomers? 4) Is it better to have a women only time that excludes trans folks OR a women, trans, non-binary night that sort of includes them all? The language I am currently leaning toward is that this shop time is for "all women-identified people". I am curious what issues and resolutions have been found in other shops. Give us your best shot: how do you train volunteers to work with patrons? What's the foundation of the training, how's it go, and what makes your approach sparkle? Context: the Mechanical Gardens is building up momentum and I'm realizing that our volunteer core has different levels of insight into how to help and engage with patrons during open hours. The group has little-to-no collective experience to draw from of what a community bike shop does and how its staff or volunteers approach or conceive of their roles. I think that a volunteer training might be a good way to establish a baseline of expectations for working with patrons. In fact, I think we should have someone else come and run it for us so it's not some weird hierarchy thing where I'm telling everyone how to behave. (Anyone fancy a trip to NYC?) For the meantime, we would benefit greatly from your collective wisdom about shop roles and how to embody them. xox - Josh

Greetings from Detroit, We consistently refurbish bikes for donation to kids during regular volunteer nights and *we keep a waitlist* of who needs bikes, what sizes they need and how many. Then, *when their "order is filled" (i.e. when their bikes are built) we call them up*. We ask that they bring the kid with them in case we got the wrong size or need to make some adjustments and* a lot of times people do bring in old kids bikes* but *we do not require them *to trade us a bike, which is *an organization wide policy meant to discourage bicycle theft.* *We do not limit the number of bikes taken* by a family, though for groups we usually* can't give away more than 15 at a time.* The *only requirement for taking a bike is *that the person that the bike is for is under the *age* of 10. *We do accept donations *(though these are few and far between) in a jar and many of the family's receiving bikes also have kids that have gone through our version of Earn-A-Bike (EAB). We *fund this through our general fund* which mostly comes through donations and it costs us roughly $15 to $25 per bike but it is *free to the recipients*. We only provide accessories like helmets when there is surplus. We mostly try to give those out to older EAB participants who tend to go faster on their bikes. *My suggestions*: Do not require a bike to swap. See if you can get your kids bikes from shops in the city that accumulate them or from retired folks with trucks who pick stuff off the side of the road. Make sure people in your area know they can bring you kids bikes. You could even host a bike drive exclusively for kids bikes (though people will probably try to give you larger bikes as well). Local companies love the press that comes with hosting those things. Greetings everyone! I am curious to know if any bikebike members/organizers have discussed making a collective statement about the recent political issues that USA has been dealing with? Several policies and many statements made by the White House and co. directly contradict our mission statement. As a multinational organization I believe we may have a greater impact if we could unite our voices in some manner. Big questions about trust, classism, and preconceptions

Hi all, Looking for some wisdom on what I think is a pretty deep question for our shop. Quick background: Broke Spoke is a non-profit community bike shop, with a mission to give everyone better access to better bikes, and enable everyone to do their own maintenance. A big part of our community has been a social services campus nearby which includes long-term residency, an overnight shelter, a free cafeteria, and a residential substance abuse rehab program. People from that center use the shop frequently, and are probably the most common group to earn bikes from the shop. Right now, once you regularly commit to a certain number of hours consistently for 4 months, we provide you a key to the shop, so you can come in on your own time to work on your own stuff and free up open shop hours so you can volunteer. This has always been by invitation rather than an automatic 'upgrade'. We have a small group of regular volunteers from the center some of whom would otherwise qualify for this type of access, but have never been invited. We're making an effort this winter to reorganize our shop volunteerism to be more inclusive, and the discussion has led to addressing this. Without speaking for others from the shop, I'll share my own thoughts: on one hand, I hate the notion that someone's general economic status could disqualify them from becoming a more involved member of our community. Hey Momoko, This might be better to tackle seperately in a 1-on-1 thread but I think what I'm hearing is that the unclear criteria set it up so that current folks making decisions about new core volunteers are in a position to "judge" incoming members which might dissuade new members. I think that's accurate, but to some extent, we're all judging and being judged all the time (it's not necessarily a bad thing). I think having the criteria be vague and numinous is what makes any process of judgement/evaluation tip towards the unfair/exclusionary. So, what I recommend you all try to do is spend time outlining these a little bit: "Your behaviour in the shop off hours will appropriately represent Bike Farm." - What kind of behavior is appropriate? this doesn't need to be a laundry list, even coming up with 'values' level words (ethical, honest, kind etc) will help people understand what is and is not acceptable. A Bike Farm code of ethics would go a long way towards laying this out (those are usually 1 page or less!) "You have the skills to handle the strange situations that come up at Bike Farm." - what are those skills? Conflict resolution? Desecalation? Loss Prevention? Hands off teaching? - If someone doesn't have them, are there resources Bike Farm knows about/can recommend for folks to learn/practice if they are interested? - is there a way to help interested/incoming folks self assess their skill level with those things and support them in their development/growth? I really think reframing this similarly to the questions of mechanic skills-- and how to evaluate who has and doesn't have them, and how to handle that-- bike co-ops are teaching people all kinds of mechanics all the time, usually in this really awesome, incredibly calm and welcoming non-judgmental kind of way. That's not just haphazard! That's systematized, cultural, and it's usually intentional, and you can apply that kind of teaching philosophy to anything your org/group thinks it's important for people to know. Those questions might seem vague, hard, or weird to answer, but I really think it will make things a lot more accessible and transparent, which in the long run, will make your processes more equitable.

Hey Andrew, it sounds to me like you and your collective might want to consider your criteria for key-holdership. If those criteria are not formalized, expressed, and accessible, then people cannot work towards meeting those criteria, and you have established an elite group of key holders that is inaccessible to the majority of your organizations membership base. That will result in the people who "lead" the organization eventually not being representative of the population your organization (presumably) exists to serve. I don't think that "showing up for x # of hours over x period of time," sounds like it is adequate criteria for someone to be given access, which means there are other (likely currently unstated) criteria that determine whether someone is worthy of the privilege of a key. Rather than ask people to just be more trusting, I would consider doing an activity that names the other criteria (as well as consequences for violating norms), and then make them available generally. At Back2Bikes we do not have a specific period before someone gets keyholder rights but the person must show that they can be relied upon to turn up regularly over several months. We have had in the past a couple of keyholders with psychiatric / possible substance abuse issues. In one case it worked out fine and in the other there were question marks over possible missing money or more likely parts. However, at another non profit I was involved in a large amount of money was embezzled by a person who to all appearances was already well off. My thoughts are that it is just as likely that dishonesty can come from people of any class and that keyholder privileges should be given on the basis of the individuals character, not their social background or the fact that they may be currently going through a difficult period in their lives, In fact keyholder rights in some circumstances can help some individuals increase their sense of self worth and lead to positive outcomes in that persons life. We did run a second location for a year in the premises of an organisation which offered cheap meals and attempted to find disadvantaged people jobs and housing. In this location the workshop could not be left unlocked at all due to the clients who were not attending the workshop picking up anything that was not bolted down. I think that really is a greater problem than people who are making an effort to be involved.
