Bike corral policies

We're working with a large affordable housing building in our area (primarily East African residents) to get better bike storage. They've agreed to a secure, fenced area inside the enclosed part of their parking ramp. We need some sample policies--e.g. how to you control who has access to the corral, who gets to use it..... This should involve VERY little staff time. How do you avoid a large number of abandoned bikes after a year....Anyone have any sample policies we can share? .............. Hey all, I don't know if it's your custom to do an intro email, but here goes! I'm a bike anthropologist who is now the Equity Initiative Manager at the League of American Bicyclists. I've been involved in bikey stuff in Los Angeles, Seattle, and Portland, and I moved to D.C. for this job in November. My academic and activist projects focus on showing the impact grassroots energy can (and should) have on bike planning and policy, so I figured it was high time I joined this listserv. Hi all, To keep conversations going post Bike!Bike! we are starting monthly online calls to discuss and work on various projects brought up at the conference. Our hope is to create proposals and present research at B!B! 2014. *Next Call: This Sunday! January 5th @3pm PST. The next will be February 2nd.* During this call, we plan to discuss pros and cons of organizing BB as a non-profit. A lot of opinions and questions were posed at the end of BB2013. Our hope is that people will feel inclined to listen in on this call and reopen that discussion. There is however a limited number of people who can be on the call. (The "working group" is a group of about 15 people who are committed to continuing BB conversations and assisting the hosting city in planning BB.) Pricing structures for tools & space?

We do free use of shop stands, tools, advice/help and basic parts. It keeps it so simple, and people almost always throw something in the donation jar. People can also take a BikeWell class, volunteer 4 hours, and then build a bike with our help, or pay $20 to skip the vol time. We then have a whole other batch of bikes that takes more time or more money. We also have a batch of bikes that are basically money only- we cannot exist on time nor outside help alone (nor do we want to). I realize this will not work for all shops, but we are able to raise good money with events, small grants and so on, as people really like that we exist and help people in the way described above. We revisit this 'philosophy' at least twice a year, and have arrived on this 'formula' after nearly 20 years of trying just about everything. I'm interested to hear what pricing systems other shops are stoked on and why. I know this has been discussed many times before, but lets get real: I don't remember and I didn't save them. So here we are again! At present, we have a three-tiered system: $6 to use our tools with no help $12 to use our tools with help $18 you stand there looking on blankly while we do it for you. It's a flat hourly rate, all day every day. No caps. This system doesn't actually reflect how we charge. No one gets the $18 treatment, even if they ask for it. We don't have the staff to do it, and its not really what we like to do anyway. More often that not, when a service user comes up to pay after using our tools, we ask them approximately how much time they worked alone, and how much time they had help, and agree on some combination of the $6 & $12 rate. LeadsOnline experience

Our local Police Dept has requested that we start logging the serial numbers of all bikes donated or dropped off after hours at our shop. LeadsOnline is a nation-wide database that law enforcement uses to track stolen property. I am very supportive of reducing bike theft, but I'm concerned about effectively training our volunteer staff on this new procedure. Can some of the other organizations share their experience with LeadsOnline or any best practices you have developed for streamlining the serial number logging process. Sorry, but I'm an engineer. Be careful in talking about CO vrs CO2. Both are in auto exhaust. CO is a component of air pollution. The EPE regulates CO at the tailpipe to around 3.4 to 4.4 g/mile, measured with the engine at an idle. Nearly all of the rest of the carbon going out the pipe is CO2. CO2 is the Greenhouse gas. When you burn gasoline or any hydrocarbon, almost all of the Carbon leaves as CO2, a small amount is CO, and a very small amount very small amount is HCO. All the carbon going into the fire comes back out as Carbon+something. There is a calculator at cotap.org for estimating CO2 based on MPG and miles driven. Charging for Earn A Bike?

We in MPLS are considering charging (on a sliding fee scale) between 0 - $100 dollars for our 4 week Earn A bike class. Typically, once students complete the bike, they receive a new helmet, new set of good blinky bike lights and can volunteer to earn a basic U lock. Also, we often use some new parts or Earn A Bikes like tubes, brake pads, cables and housing and in some cases tires (when we don't have a used one of the proper size in adequate condition). We also have 2 or more paid staff leading the class. So we want to cover some portion of those costs so that we can continue to provide the program... Also, we are finding that there are folks interested in building/ earning a bike that maybe could afford to buy one or to pay the amount listed above or more for a four week, twelve hour class. We don't necessarily want to tell these folks they are not eligibile for the class or create a separate build a bike class for non-low income students. We have a goal of building community and want to bring people together from different backgrounds and of different income levels etc. Our classes are one place this can happen. We will work things out for anyone who couldn't afford this by reducing the fee, allowing folks to volunteer rather than paying etc. We do have a volunteer program where folks can earn shop credit for parts and frames. Any thoughts or suggestions about using sliding fee scales or amounts that other programs/shops charge for build a bike or Earn a Bike classes? Much appreciated! BRRR, it's cold here. Valet bike parking and public events

Hello, Thinkers Carl Voss here from the Des Moines Bicycle Collective. I know that some community bike projects have programs offering valet bike parking for public events, festivals, farmers markets, and the like. I'm a member of the city committee (city manager's office) updating/reviewing the Des Moines process for street-closure permits for public events. I've suggested we include some language that valet bike corrals be part of public events. I recall that in some cities, the event planners are required (or an the minimum, encouraged) to provide bike parking. I've read—perhaps here or elsewhere—that there are 30 San Francisco events that have valet bike services. If any of you have suggestions to pass along regarding street use/street closures/public events and permits: *Language suggesting or requiring valet bike services *If expected attendance is over a threshold (1,000 attendees?) must include valet bike corrals *Any other encouraging language. Hi According to Bicycle Retailer and Industry News, the average LBS grosses $700,000.00/yr. However, you have to dial it down to your local market. IMO, most community bike shops don't come close to competing on dollar volume. Look at your LBS(S), who are their customers? In our situation, we are in the inner city. There are no shops in this city. All are out in suburban communities. They are marketing to those with more disposable income. They sell recreation. We sell transportation and sustainable living. Bike Rodeo Kit

ThinkTank: I am writing a grant to fund the purchase of a kit to set up and conduct bike rodeos community-wide. Can anyone point me in a good direction so that I can develop an itemized list of needed supplies and costs? I have a good idea of what we need but I want to include a very detailed budget with specific items included. I think I remember seeing some info on the Wiki but that's obviously an issue right now due to the malware situation. Anyone have a good source? Hi Sam, We've done lots of winter cycling clinics in the past, but haven't developed any resources that we can share. You're already planning on hitting a lot of what we've found to be the important stuff (studded tires, cleaning/lubing, how to dress). Do you plan on teaching folks to stud their own tires? That's always been popular, and it makes it easier for some folks to start riding through the winter. Wanda mentioned this already, but I want to second the importance of talking about winter routes. It's been my experience at that this has been the biggest barrier for folks that show up for winter clinics. Typically, these folks ride the rest of the year, but their normal routes are uncomfortable to ride (or are not ride-able) in the winter. It's really helpful to suggest some alternate routes for folks whose commute paths get much worse with the weather. Chris Turner Off the Chain Anchorage, AK

Legal Liability for Bikes Donated and then given out for free?

Hello, I'm in NY the "litigation state" and am trying to get my former employer, a BIG Ten employer to organize a bike collection event at their local manufacturing facility. The company has DEEP pockets so they get concerned about the potential for liability in the event that a donated bike ends up injuring someone due to defects that existed when it was donated, or that occurred when it was repaired before it was given away. Let me know your experience with this, from legal prospective, please don't reply with complaints about the "system" as we all know the system s**ks! Thanks, Mike

Hi folks, I'm trying to put together a riding in winter workshop at the Bike Library and was wondering if anyone knew of any resources I could draw on. Has anyone has success with this sort of thing in the past? Any thoughts on what sort of stuff should be covered? We're in Iowa, so I was planning on focusing on studded tires, fenders, cleaning and lubing regularly, and dressing for the weather. Any other ideas on stuff to cover? It is quite rare for a person to be injured because of the condition of a bicycle. Perhaps they'll have to ride slower or stop. Riding in traffic or over rough surfaces can be dangerous no matter what condition the bike is in. I'm not a lawyer, but I don't know of any case where a bike shop was successfully sued for damages from a bike accident. Lots of good thoughts here Vernon, thanks for taking the time to spell them out so clearly. Suffice it to say that we have thought about most of what you mentioned. We've borrowed a kit from our local AAA office that has worked okay in the past. But we need something more complete. I completely agree with you about the strict obedience issue. And it's why I continue to resist the urge to go the LCI route. We've learned from experience that strict application of traffic laws, especially for our inner city refugee teens, can often inadvertently make them targets for violent behavior and bike theft. Sometimes it isn't a good idea to stay on the right-hand side of the road and come to a complete stop at an empty intersection, like if there's a group of 6 older teens standing there staring at you and your bike. But that's what happens if we go too far in teaching these kids the rules of the road without adding some common sense into the mix. What we need, IMO, is a different type of bike safety/skills approach when teaching kids, particularly refugee and inner-city teens. The last thing any of us wants to do is have a kid spend his/her time earning a bike only to have it get them beat up and have the bike stolen. Like Josh said, we get our stickers, t-shirts, posters and anything printed from http://peacesupplies.org/. Dwight has been doing this for a long time and also has been on our board at BICAS for about 20 years. The vinal stickers are great and we have had bikes recycled through our shop for many generations now and many have generations of Peace supplies stickers on them. The reflective stickers are super visible and do not come off easy. I also like the clear back stickers. Even if you are not wanting to mass produce you can skim the huge selection of awesome art they have collected over the years at http://worldsbestbikestickers.com/. Promo Stickers

Bike Pirates has been trying to source a high quality sticker to put on our bikes that we build and also to use for general promotions (take a sticker! Put it on your agenda or a bathroom stall!). We ordered some from a company in Vancouver about 3 years ago and weren't completely satisfied with the quality. They were weatherproof but the clear laminate layer on top wasn't super durable and could be scratched off pretty easily. So we are looking for a different company, preferably in Canada. If anyone has any expereince or suggestions we'd love to hear feedback. We ran out of stickers last month and need to get moving on this. OCB in Vancouver has always had really fantastic stickers and I don't know where they get them from. Thanks, Ainsley (Bike Pirates, Toronto)

Document Storage: An important thing to consider when storing documents is to maintain a document register so folks will know that they are viewing the most current revision of the document. This may be difficult to do in the various systems of storage and therefore the organization may want to also post a document that lists all of their posted document, and list the most current revision of each. Also each document should have a revision status included in it, and updated when the document changes. Organizing Documents Electronically?

Hi all, it's been a while since I posted to this list, I'm subscribing from a different email address now but it's me, sunny! from vancouver / OCB, formerly from phoenix / Bike Saviours. I have a question about making the switch from paper to electronic documents. OCB has been around for 20 years, and we have a huge mish mash of different systems for organizing our documents. The main three are: 1) a huge pile of filing cabinets, 2) the hard drive on our computer (which often doesnt match what's on the hard drive of our OTHER computer at our warehouse), and 3) google docs, which does not match what's on either hard drive and has to be constantly updated to reflect our ever-changing policies, lists, minutes, etc. Basically, it's terribly confusing and nobody ever knows where to find anything without asking the one or two people who have been with us the longest. We need to use something that is stable and long-term. I'm thinking google docs might still be the best thing, but I thought I'd fish on here first. What I'm looking for is an online-system that can be synched up with our hard drive (for back-up purposes), which can be accessed from any computer and which can be categorized clearly and easily. Donations from Businesses

ThinkTank, I have been trying to research this and I'm not really finding a complete answer. Perhaps some of you have personal experience/knowledge that can help. There is a bike shop in my City that has a stockpile of used bikes in a warehouse and they've expressed some interest in donating them to our community bike shop. Does anyone know specifically what the tax advantages are for the business that donates? I know how it works for individuals but I don't know how it works for a business. Bike!Bike! open discussion of Non-Profit Status

Dear Bike!Bike attendees and community bike project peoples! For 10 years, BB has been an entity without formal structure or organization. In many ways, this is part of what makes BB amazing. At the same time, BB is changing; the bike movement gains momentum; and the members and needs of community bike projects grow and shift. Over the past couple of years, members of the Bike!Bike! community have begun discussing the pros and cons of creating a non-profit entity to better support the mission and logistical feasibility of Bike!Bike! This discussion developed through open conversation during Bike!Bike! itself, and has continued remotely through the Bike!Bike! Working Group, an informal network of individuals committed to continuing this discussion between conferences. The goal of this work is not to graft a structure of authority onto the collective phenomenon of Bike!Bike!; rather, we want to work cooperatively toward developing a simple legal framework and shared toolkit that will make Bike!Bike! easier to attend, host, and replicate. Folks interested in contributing to this work are always encouraged to participate. *** In an effort to be transparent. I suggest we discuss this topic using the open source tool, Loomio.org <https://www.loomio.org/discussions/7933> . It is a software that came out of the occupy movement in New Zealand. It is built to help large groups with consensus discussion and decisions. It does mean another login and website :-( but I think it will be worth it. We will write monthly emails to the Thinktank and BikeBike Facebook page to invite people to review or join the discussion. Other options include google groups or a facebook group. Helloooooo ThinkTank'ers We are going flat out here in Utica and have made some real progress establishing Utica Bike Rescue....and we're totally pumped! We've got a permanent space, we're taking in donations of parts, bikes, cash, we have a few small contracts in the works to deliver maintenance/commuting/safety workshops on the college campuses here, we've got some grant apps in that we're hoping come through in the next few months and we are going to be surprising some very, very worthy kids and teenagers with "new-to-you" bikes this holiday season. Lots of other behind the scenes stuff is going on too but no one wants to know our EIN number or read our bylaws I'm sure. I want to take a minute to sincerely thank all of you who are on this listserv who have provided advice, resources and even bikes that we've turned around and redistributed (BIG thanks to TBR!!). We have good local resources that have really helped in establishing the organization and shop. But connecting with those of you I met in Long Beach last year and continuing to share ideas has been so, so helpful (another HUGE thank you to former SLC Collective staffer Johnathan Morrison!). Is anyone on this list involved with the http://www.bikecollectives.org/wiki/index.php?title=Main_Page ? I'd like to propose the changes below but the member discussion page I posted on isn't generating a response. I hate to just start making a lot of duplicate posts in the blind. I suggest "Maintenance Classes" for patrons be added to Common Activities as it is different than "Mechanical Training." I've posted a draft outline of the VéloCity Bicycle Cooperative basic maintenance class under "Teaching Resources" but that is a sub-topic to "Earn-a-bike." Maintenance Classes for the general public are often offered by coops and on the list there has been some discussion of volunteer mechanical training. To me, a volunteer should know at a minimum what is taught in a basic maintenance class so they do tie together. I think a page for "Volunteer Training" might have value too. And change "Mechanical Training" to "Open Source Mechanic Training" Thanks for considering my suggestions. Ron
