Sometimes the fact that we're an all-volunteer bike shop means that there's no incentive for people not to wait 'til the last minute to realize that they're going to be late for a shift or flake entirely. The only fix I can think of is social cohesion. positive feedback and respect from other volunteers for being awesome when you are and such. but that doesn't seem to stop people from flaking. Goodle Apps for Bike Coops

We use the email and the calendar. We have a separate account for our calendar and share the password among our shop coordinators. At our monthly meeting we go around and sign up shifts by creating events with our name. Before the sign-up it looks like our regular open shop calendar, then folks create events on the same day as open shops, only with their name. So a given day will say Open Shop 6-9pm, Justin M, Reda A. Its a free way to organize our coordinator calendar online. We don't really use the documents app much. Google Apps for bike co-ops?

Does anybody use Google Apps for their organization? Google Apps (Education Edition) is free for non-profits under 3000 employees. We currently use it to manage email for our domain and host a public calendar for our co-op. (For more info: http://www.google.com/apps/) In addition to the usual Google services (Mail, Calendar, Groups, etc.) Google Apps lets you install third-party apps through their Google Apps Marketplace. https://www.google.com/enterprise/marketplace/ I'm curious if anybody is using any of these? In particular, if there are any that might help with volunteer scheduling or inventory management in a bike co-op? Any info or shared experiences are appreciated. Insurance in Canada

Howdy, Anyone have advice on brokers/companies/policies for shops in Canada? It's one area we've been pretty negligent about: we've been operating for 6+ years without it, and our board/funders/users are getting increasingly anxious about it. We've asked around and the best quote we've got is $3800, which can be done, but is definitely on the edge for us with an upcoming year of rising rent costs and grant money drying up. Is there anything cheaper out there? Is there a partnership strategy you've taken up with another org to share the umbrella of insurance? Giving thanks

Friends I am thankful for the growth of the Summit Cycling Center. In 2007, it was an idea born at the Peter Maurin Center. In 2008, it became an Ohio Nonprofit Corporation. At Thanksgiving 2009, it was supported by less than 10 members. I was moving my mothballed bike shop equipment into Canal Place. I had help moving, usually one friend at a time. In 2010, we have grown to 45 members and gained many patrons and supporters in the community. We established an elected board in May; and by next year, we should should have 501c3 tax exempt status. Even without the status, we have received some incredible bike donations; and other goods, as well. Hard working members have come in and arranged the store layout; building shelves and a bench. Thank you one and all! Charles Hudkins and I built a bike trailer from re-purposed and re-used materials. We set up a courier contract with S E Blueprint. The trailer has hauled a lot of blueprints since June. This courier service has contributed a significant amount of income to our coffers. With it, we met one facet of our mission statement-to create cycle-based micro-enterprises. Charles was unemployed before he joined SCC in May, now he makes money for himself and SCC as a courier. We hope to expand the courier service in the coming year. We plan to start other micro-enterprises. as well. We are currently working on a multi-modal conveyence. Tyler Goodin contributed a wooden shipping crate. Dave Stoddard donated a pair of utility wheels. We salvaged some EMT and borrowed a hydraulic bender. We bought some steel and lumber. When completed, it will be a sturdy cargo hauler. Its three modes will be 1)pushcart 2)bike trailer 3)front end of a tadpole box trike. It will be used to take scrap metal to the salvage yard, which will put some cash in our coffers. It also will be available for rental for anyone wanting to move a load car-free. We are off on a good start. I thank all of you for what you have contributed as a customer, a member, or a donor. Yet we are not all we can be yet. We have needs and wants; some simple and some not so. We need a few more folding chairs. We need certain key tools for the 1st bench and more basic tools for the member's workbench. If you have any spare tools that you don't need, call and see if they can be used for our members and repair classes. Eventually, we will need 5 sets of tools for repair classes. Any left over lumber, pegboard, metal stock in your garage? We will find a use for it. Have you a wringer washer that you can give? Have you any rags? Any bike parts or accessories? The membership would like SCC to have its own phone and internet service. For the first year, Time Warner requires $1535.00. Will anyone or a group of you pledge that amount?Of course, we will need a phone for that. Does anyone have a phone they can donate? Having these services will very likely increase membership enrollment, sales, and our ability to serve the community. I believe that this increase will cover the cost of these services in the second year. Can anyone give us a leg up? We greatly need a computer that can run accounting and Point of Sale software. Anyone have one less than five years old that they can donate? Call and talk to Charles about it. He can tell you if it will do the job. Advanced Computer Services quoted us $199.00 for one. They are currently out of stock. Anyone willing to pledge for that? I am interested in the Quick Books for Nonprofits program and their Point of Sale program. I would like to get a hand scanner and a receipt printer, too. Any information or help in this area would be appreciated. Since the membership has grown, we need a bigger refrigerator. There will be bigger parties and events next year and we will need a bigger refrigerator to store the goods for those occasions. Can anyone help in this? Last but not least, we desperately need a bigger place. Please keep an eye out for a groundfloor space 3 to 4 thousand sq. ft.. Perhap you know someone that can provide us this space at a very low rent. Please let us know. Lubes, choice of and sources.

Hello everybody... Would you please share your thoughts concerning your choice in lubes you use. Specifically: 1) Chain lube. We use Prolink - expensive but good performance. Would like a more "green" solution. 2) General oil-like lube, we use Triflow. It's cheap. For both, we buy bulk and refill the smaller bottles. Could you please share your experiences and strategies? Bicycle Works is moving

St. louis Bicycle Works is moving. For 25 years now we have been located on the same intersection in south St.louis but next spring we will be moving. http://tinyurl.com/24ks3jh If you have been to the shop on a busy night you understand this move was long overdue. We are open five nights a week in order to accommodate the volume of people coming to volunteer. The Earn-A-Bike program now occurs on Saturdays and Wednesdays to allow even more kids to learn. The computer shop has continued to increase the accessibility of its Earn-A-Computer programs and has added a one-on-one mentoring program. A new program called BookWORKS was started this year to help kids improve their writing and reading skills. This growth has taxed our core group of volunteers and the building we currently occupy. The same room serves as a classroom, a boardroom, and a storage area all in the same week. More and better space was need for us to continue to grow and pursue our mission. Over a year ago we started touring buildings in the neighborhood and surrounding areas to see what was possible. This spring we found a perfect building to meet our needs and a generous patron to help make it a reality. The space is large enough to allow for growth, it is located in a residential area, and our new neighbors are enthusiastic about our moving in. This new location will have dedicated classroom spaces, more than double the shop space, new bathrooms, a reception and retail area, and plenty of storage, all built to our specific needs. We are extremely excited and thankful for this opportunity. This good news, however, is tempered by the sadness we feel for leaving one of the most amazing and supportive communities in all of Saint Louis, the Shaw Neighborhood. Shaw has been our home for over twenty years, BWORKS was conceived and flourished here and we are deeply grateful for all the support and encouragement Shaw has given us. We look forward to what the future holds.

Benches and Shop Layouts

Hi everyone, I was wondering if shops could share their bench designs and/or shop layouts - we're moving in January and trying to set ourselves up as best as possible. Specifically, it'd be great if anyone has a copy of your bench design & material list, and in terms of layout we're most interested in bench spacing - see below for an example. What works about your current layout and what doesn't? Our current layout uses a bench that is ~18" deep (from the wall), ~50" from edge of the bench to bike-stand pole, and the length of the clamp (from pole to clamp-edge) is ~18." Our spacing between benches is erratic given our current shop space, but our new space is nice and square-ish. Fundraiser Ideas

Hello all! I just finished helping Bike Recycle Vermont host their fifth silent auction/bluegrass concert fundraiser. It's something our organization has been doing for five years, and all of the people who worked on it this year agreed that the event was really tired and that we'd prefer to do something that's more accesible to the people we serve and our volunteers and that's more in line with our mission. Anyone out there have some ideas or examples of successful fundraisers that incorporate your volunteers, that involve bikes, yada yada? Any and all suggestions welcome. Thanks! non-profit development questions: staff and board roles

Hello, We are working on creating new and updated policies for our organization and have lots of questions regarding board and staff roles. We would be happy to hear experiences or feedback on any of the following questions if folks have time. 1) Who should be able to vote at board meetings in a consensus based non-profit, where there is a general desire for as much democracy and particapation as functionally possible? This organization is small and there is considerable overlap in the duties of board members and staff. How many staff should have a vote at board meetings(should there be a restriction on how many)? It seems common that non-profit advisers warn about having staff voting in board meetings (many say limit it to one representative max). Does this still hold if the staff are doing planning and research equivalent to a board member? The executive director or staff representatives are sometimes voting members in other nonprofits we have heard of, but ours doesn't currently have those positions. 2) Our organization has teams that operate semi-autonomously. Staff and board members overlap in these too, but the decision making is by all members of the team (not just board members for example). Reversing question #1, are there issues with having board members voting in groups that focus on daily operations? 3) Who should be allowed to edit the operations manual; staff, board, or both? This isn't the bylaws, but what we call the " handbook for board of directors, staff, and volunteers". Should the staff be able to alter it as long as it doesn't go against the bylaws established by the board? If so, what if no one checks on a regular basis? Are there better ways to divide bylaws from an operations manual. 4) Who do staff turn to when they have problems, or are unhappy with their working hours, pay, coworkers, etc. (There is no executive director). 5) How board members volunteering as staff, on project teams and programs maintain objectivity as a legal employer, while working as part of a team. Are there processes in place that help keep authority issues clear? I guess this ties into question 2. 6) Who are staff accountable to for reviews and pay raises and performance issues? thanks for any info, ben and john

America reCycled hits the road

Hey everyone, This is Noah Hussin from America reCycled. We're two bicyclists/storytellers crossing the country on bikes we built at the Recyclery, a bike coop in Asheville, NC. As we ride west, we're documenting efforts to rebuild local culture, community, and economy through short film, photography, music, and writing. We've just started the trip, but have a few stories posted. One explores the bike cooperative where we built our bikes. Despite this setback, and the freezing temperatures, volunteers setup shop outside, (sometimes in the snow,) to help all-weather bicycle commuters with repairs. We will be looking for a mechanic fieldworker for this project for a period of at least 6 months. Resources for teaching bike mechanics in a third world country?

Hi Thinktank list, I have a request. I am helping a friend start up a bike collective of sorts based out of an orphanage in northern India (about 2 hours north of Delhi). He will be staying there for about two years and is arranging for some bikes and tools to be brought over from the US. My question is if anybody on this list has experience teaching bike mechanics in a place like India, where the available tools may be limited and where bikes are used on a much more utilitarian manner than we are used to in the US. And if you don't have any experience, would you be able to forward this request on to anybody who has? I plan on contacting the village bike project for advice (just sending them email, so not sure how to best get in touch). Are there any people running projects in Mexico who may be able to help? Specifically, I am asking for resources that could help in developing a curriculum for teaching bike mechanics in a rural orphanage in India. Any assistance would be appreciated. Thanks, Will P.S. Insurance and Liability Waivers

Yesterday I had the chance to meet with a lawyer to go over our insurance policy and to discuss liability waivers. The Bozeman Bike Kitchen currently has a basic business coverage insurance which will cover the organization in the event of a lawsuit but does not cover us from injuries incurred on-site, does not cover the property itself, nor does it cover the board of directors. I am looking for recommendations regarding types of insurance tailored for an organization like ours. Particularly renters insurance (for our property) and Errors and Omissions insurance (for our board of directors). Secondly, our lawyer strongly recommended a series of liability waivers be added to our check-in and check-out process for both volunteers coming to work as well as for individuals receiving a bicycle. We have begun work on a volunteer waiver but have nothing for a bicycle release waiver. I am requesting to receive templates of these documents from other organizations. Communication Tactics

Hey folks, since the recent breakdown at our shop the issue of how to communicate with volunteers and members has come up as major issue. I'm just wondering if any of you have found what you consider to be an efficient means of notifying members and sarting discussions with volunteers. In the past we used three email list serves, one for all members, one for volunteers, and another just for organizing members. We have found these lists difficult to keep up to date as we seem to have a constant flow of volunteers and members. We have also found that many people get annoyed when discussions happen over email and often stop reading what could be important notices. Recently some volunteers started more lists for sub-committees (such as mechanics only) and then started using facebook and the online forum on our website and this has resulted in a complete breakdown of communication, sometimes many people are not included, often many of us get several emails about the same thing. Using methods like forums and facebook are great becuase anyone can read and join in and people don't get annoyed with emails, but at the same time people are likely to stop checking and reading if they don't get reminders. One possible solution brought to the floor was to combine the use of email and forum discussions, such that notices are sent over email and if a discussion should happen, a notice is given over email and a link to the forum discussion. Volunteer *training* manual request

It is that time of year when it gets cold and a little slower, so we are assessing what we did this year that worked as well as what didn't, while not forgetting the things that we didn't get a chance to try. Luckily there is always next year. So... Have you quantified your volunteer incubation process in the form of documents or some coordinator position that wouldn't mind spending some time on the phone with me? It turns out the heat lamps we tried were unsuccessful, so we aren't doing that again. In Utah we want to solidify the way(s) in which we turn a first timer into a core volunteer, and hopefully do it more often. One thing we DID do, that was great, was steal and modify the Yellow Bike Project's volunteer tracking software (volunteer.slcbikecollective.org) which has resulted in automatic contact lists, community service letters with truly valid hours, the ability to keep track of Department of Workforce Services employee hours, increase enrollment in our email list, a slightly more formal way to keep track of people trading in volunteer hours, and the thing we always wanted -- valid statistics. So we will certainly be continuing that practice. Now that we are collecting info more efficiently, we need to work on how we use that info effectively as a way to engage volunteers at higher levels. Insurance and Liability Waivers

Yesterday I had the chance to meet with a lawyer to go over our insurance policy and to discuss liability waivers. The Bozeman Bike Kitchen currently has a basic business coverage insurance which will cover the organization in the event of a lawsuit but does not cover us from injuries incurred on-site, does not cover the property itself, nor does it cover the board of directors. I am looking for recommendations regarding types of insurance tailored for an organization like ours. Particularly renters insurance (for our property) and Errors and Omissions insurance (for our board of directors). Secondly, our lawyer strongly recommended a series of liability waivers be added to our check-in and check-out process for both volunteers coming to work as well as for individuals receiving a bicycle. We have begun work on a volunteer waiver but have nothing for a bicycle release waiver. I am requesting to receive templates of these documents from other organizations. Hi, I work at a National Governing Body, USA Triathlon, and I am working on youth programming. As of right now the program is an awareness program. The thought is to bring a coach into schools to introduce triathlon to the kids. A next step, down the road, would be to bring a multisport curriculum into the Physical Education programs. One major hurdle to this would be equipment. Now my question to the listserv- would bike co-ops be interested in being involved in such a program by way of donating bicycles and hosting a cycling safety educational component? I see this fitting well with 'earn-a-bike' or 'build-a-bike' programs that many community shops are already doing. Speaking for our shop (Armory Bike Union in Jackson, MI), we incorporate a safety component to our course, along with education about bike functionality and maintenance. Bike Pirates Cookbook - Callout!

Hello all, We here in the Bike Pirates kitchen have been putting together plans for a *Bike Pirates Cook Book*, and we want your submissions! For anyone who doesn't know, Bike Pirates has always had food in it's space, and for the past 2 years has included free meals as a regular part of their programming. Bike politics and food politics overlap in a variety of ways, and free, healthy food helps to keep our volunteers and participants happy and able to focus. Serving a meal also encourages people to sit and chat, share company and creates community among those using the space. The kitchen is a vegetarian space, where we cook a lot of vegan meals (and desserts) and use produce from local gardens and organic farms whenever possible. What we need are your favourite recipes that are easy to make for large groups of people - we usually cook for about 20. * What We are Looking For* recipes that use local/native produce! recipes that don't involve measuring! vegan recipes! Easy, yummy baking recipes (including breads, cakes, pies, cookies etc) that are either vegan or gluten-free Directions for fun bike-related craft projects Suggestions for a great title! (Working title: The Bike Pirates Anarchist Cooking Book) Art for the cover or to decorate the pages inside *Please ensure that any recipe you submit is indeed your own, and hasn't been taken directly out of your favourite cookbook. The book will be prepared as a zine and each recipe will be on a separate page. We will use the cook book in the kitchen at the shop and it will also be for sale at the front You can either send along your recipes to lunch(a)bikepirates.com or bring in a prepared, unique photo-copy friendly page for the zine to Bike Pirates during any open hours. Free Cycles is keeping our 2,000 ft community shop, and expanding with a 6,000 sq ft fabrication warehouse 3 doors down. please do not recycle any frames. we will take them. broken or bent. just not rust. or you keep them, save them, and re-use! if you cannot re-use, we can figure a way to get them here- hot air balloon, steam ship, e-train, somehow. -bob g, free cycles missoula
