bike valet question

hi, all, It's been a while since I posted to this list (though I lurk now and then), and I missed seeing everyone at the last bike!bike!, but I have a quick favor to ask: I'm helping write an article about bike valet services (bike parking at events that draw too many bikes to simply lock up) and it occurred to me that there are probably lots of folks/ projects doing this as a form of outreach that I don't know about. Here in SC it is most reliable at the farmer's market (where I currently get paid to do it -- oogle bikes, chat w/ cyclists, eat veges; pretty rad). I know that the San Francisco Bike Coalition does a lot of this on an event-to-event basis. Other places that you know about? Particularly successful instances? Competitive analysis?

So, I have been tasked to perform a competitive analysis of similar organizations by an economist in our group. I'm realizing now that a genuine competitive analysis is probably not exactly what we need but a general survey on many of our shops may be useful to all of us. Since we are gearing up to lobby our university to support a DIY bike shop on campus again, our goal is to see what other similar organizations offer and what it takes to run them so that we can bargain reasonably. This data might also be useful for a number of other reasons to any bike collective. I have put up a draft of a survey, please take a look. (I put this together pretty quickly, the ordering is probably not the best) I am by no means an economist, so some of the terminology could probably be improved, same goes for US specific information. I would eventually like to offer up the data in such a way that any sensitive information could be untied from the organization information to keep information confidential, but I'm not sure of any other way than to simply query me after it is complete, I can also provide a relevant breakdown afterwards. I'm not sure if people would find giving information about income and expenditures too confidential even in that scenario. video screens for tutorials?

At our shop we usually only have one Head Mechanic per shift, with two Shop Assistants who may or may not have enough knowledge to guide people through repairs (and one SA has to always deal with incoming people and the cash so really only two folks available for instruction at most). We've seen a large increase in the numbers of users of our shop (over 5,000 in 2010) and I find myself once again pondering having video instruction at each station for those that might want to use it. These would be touch-screens that have, at the very least, a web browser with the Park Tool repair page as well as Sheldon Brown's info (especially for working on 3-speeds and other old bikes) plus whatever might be useful. The technology for this is getting cheaper every day, and more and more people are used to getting their info from a screen. I floated this idea by our group a few years ago but it got voted down. accountability process for person accused of assault (Caroline, Free Ride)

Hi everyone! I'm writing from Free Ride, Pittsburgh PA's own bike collective. We have once monthly meetings, and consist of general users, a member support base, and collective council members who have to have substantial involvement in order to participate in decision-making. Collective council members generally number 10-18 people. http://www.freeridepgh.org Our group is currently dealing with situation that's new to us: a person who lives in Pittsburgh and who is the leader of a small bike mechanics educational initiative in India has been publicly accused of multiple sexual assaults. This person receives minor in-kind support for his India project from Free Ride. In December, he was asked privately by survivors of his alleged sexual assault to participate in a restorative justice process. At first he agreed, but later backed out of what he was asked to do. As a result, the survivor-initiated restorative justice process has gone public with their accusations in an effort to protect the community. As I understand it, the accused person rarely, if ever, is actually *in* Free Ride using the shop. He is only involved through having asked us for support for his India bike initiative (which is still a pretty rad project). So, Free Ride is trying to decide how we should respond to this situation. We want to support the India project, but we also strongly prioritize our community's health. We are inclined to support any reasonably transparent and respectful community accountability process by the very nature of our own non-hierarchical, community-building organization. We are disturbed that this person whom we support is backing out of a community justice process that has been requested of him. We are also concerned, of course, by the accusations themselves. We haven't made any decisions yet, besides asking this person to send us a written statement addressing our concerns about him backing out of the accountability process, if he wants to receive continued support from us (though we are not guaranteeing him continued support). We are inclined to ask what the people in the restorative justice process wants us to do--maybe they don't want their process to affect this person's professional affairs, maybe they do... Does anyone have any advice on how their organization has handled a situation like this? Where someone in their community was called out publicly for abusive behavior outside of the shop and/or outside of their direct involvement with your organization? What did you take into consideration when drawing the line between supporting someone and protecting others? How did you handle it? What were the results? Also, on a separate but related note, Free Ride is trying to develop its own strong Code of Conduct for our shop (long overdue!) We want the language to be firm and to reflect our anti-oppression values. Our goal in creating a Code of Conduct is create a safe space for all users to learn and share knowledge about bicycle mechanics. If anyone has any suggestions for language to include in our Code of Conduct, please let us know. We could really use your advice... thanks so much! Hey all, I've got some info in response to Geoff B's question from a week back. The Grease Pit has moved into a new building at 2750 Bloomington Ave in South Minneapolis. The opening date has not been set due to a couple of setbacks. Before we can open the doors we have to work out major problems with the heating system and then seal and contain the lead painted walls. Our rent on the space is $550 a month, and though we've worked out a potential work-for-rent deal with our landlord, things are getting tight. Hey gang, I'm a volunteer from Off the Chain, taking a break to go to grad school in Syracuse. I'm in the process of putting together a pathfinder on free bike maintenance resources for a winter biking clinic that I'm giving next month, and I'm interested to know what resources everybody would suggest. The resources don't need to relate to winter biking at all since the handout is meant to be a supplement, to give people list of some of the best places to start learning about bike maintenance. I'm also not interested only in comprehensive resources. If you know of a great resource for a specific topic, I'm happy to hear of it. Seeking Stainless Steel Spokes

We're starting a fund raising project for our shop, Bike Recycle Vermont, that requires as many stainless steel spokes as we can get our hands on. We're working with a local metal artist on turning them into bracelets and more, and we only want to work with used spokes. We've harvested quite a few over the years from taco-ed wheels and whatnot, but we don't do much wheel building in our shop, so we feel okay re-purposing them in order to support our program. Winter Cycling Clinic

Collectives, Our co-op will be giving a series of lectures this winter, the first of which is a winter cycle commuting clinic. I'd like to round out the materials we've put together with examples of what others have taught regarding this topic already. If you have any outlines or other presentation materials related to giving a winter bicycle commuting clinic we'd be most appreciative of you sharing. Boulder's Community Cycles gave a nice presentation regarding this topic at Mountain States Bike Bike last year. Their organization has all the materials for a presentation ready to go in a Rubbermaid tub for quick deployment. Hey everyone, I've been wondering about how effective "donate" buttons (like Google Checkout for Non-profits) are on project websites. Our cooperative has many active members, but also many sympathetic supporters, who would potentially donate to the cause without seeking membership (we have an annual membership fee which supports our operating costs). Right now the only way to donate is to come down to the shop or mail us a check. For those co-ops who use online donations, are they very effective for A)renewing memberships and B)getting support from non-members? Thanks! shelving for bikes

The question often comes up: how do we store our bikes? With our new shop we have lots of vertical space in the rear room, but because we moved right at the start of our busy season we did not have time to get anything set up. So bikes got piled on top of bikes (in a rough order), and as we got them done they flew out the door. Now that winter has set in up here and sales have dropped off we are getting bikes ready for next year, but can't just add them back into the pile for fear of possibly undoing half of what we just repaired. So we bought some industrial shelving. The best part was that the supplier we dealt with also sells used stuff. They said "we have some pieces that are a bit rusty but perfectly functional, and they'll be much cheaper" to which I replied "sounds like a lot of our bikes!". We've started out with 9 sections (3x3) along the back wall. The crossmembers are 9' wide and the supports are 12' high. A sheet of 4'x8' 5/8" thick plywood was added to each middle and upper section as decking, to which we also added similar sheets of flake-board that we had lying around (for extra strength). With the bottom sections the bikes just sit right on the floor. The first and second rows will hold bikes, while the top rows will be for overflow or infrequently-needed items (24 x 1 3/8 tires, anyone?). We have on order a 4' high rolling ladder for getting bikes onto the middle rows. The top rows will need our 10' ladder for access (which is why bikes won't go up there). We were able to fit 17 bikes per section, with handlebars turned but pedals left on. This will hold most our supply of As Is bikes, and since this has worked out so well we'll be getting more shelving to hold our overhauled bikes. I've asked the supplier (Arlo Shelving here in Ottawa) to just set aside for us whatever used stuff they come across, because the goal is to eventually ring the room with shelving, at least in a U shape, or all four walls. Our shop had its annual Holiday party last night. Last year we held it at a local pub, but with our fabulous new shop the vote was to hold it in-house! One of the fun things we do for this party is have a "best use of dead innertubes" contest. Hi everyone! As promised, the handbook is attached, and I copied and pasted the original text I was working with to create the handbook. It's not exactly what's in the handbook, but it's a good start if you need something similar. enjoy. happy winter riding! Zinta. the flat, mtl. Mandate The Flat is a collective that works to encourage cycling through the sharing of knowledge and tools. The Flat bike collective seeks to: make cycling more accessible by sharing repair facilities and knowledge offering workshops to persons of all skill levels reducing the costs of bike maintenance providing a welcoming environment by recognizing the existence of power imbalances encouraging cdialogue and diversity of opinion confronting discriminatory actions and words making decisions by consensus minimize our environmental impact by recycling and reusing parts promoting cycling as a viable mode of transportation promote a greater sense of community by making our resources available to groups on and off campus supporting bike-related projects and events collaborating with other bike organizations On being and and becoming a volunteer no experience necessary. Being a volunteer at the Flat is an opportunity to gain hands-on experience with bikes. Whether you have a lot, or no previous experience, everyone has something to offer. If you are just beginning to learn about bikes, we encourage you to attend the Flat’s workshops and/or ask more experienced volunteers while on your shift. We want the shop to be a welcoming space that gives everyone the opportunity to learn, teach, and get along. If you want to volutneer at the Flat, e-mail theflat.bikecollective(a)gmail.com and let us know! Your first shift You will shadow (follow around) other, more experienced volunteers to get a sense of what each volunteer role entails. There are 6 roles, outlined later in this guide. Your next few shifts You will probably be assigned POS or DP duty, until you become more familiar with bike mechanics. This does not mean that you won’t help with any repairs. You should keep shadowing other volunteers to learn as much as you can. It’s rare that if you’re handling POS you’ll be stuck dealing with money the whole shift. It’s also unlikely that no other volunteers will do POS during the shift. Everyone helps everyone else out. If someone asks you for help with something you don’t know how to fix, it’s okay, just ask someone else for help! (or take a saw to it) Expectations for volunteers Here is a rough outline of what we expect flat from volunteers at the flat: read the mandate and volunteer manual so that you have an idea about whow we operate show up to your shifts at least 5 minutes early. If you are unable to make a shift, consult the emergency volunteer list and call someone to replace you. It’s your responsibility to find a replacement. support others in learning how to fix their own bikes, but try to maintain a hands-off policy and let them do the work themselves don’t be afraid to ask questions keep learning about bikes by talking to other volunteers, reading, and practicing (work on your bike at Volunteer Fridays!) get to know the other volunteers help keep the shop organized take the initiative, see what needs work in the shop and address it you are part of the shop! help make it awesome! As stated in our mandate, at the Flat we are committed to confronting discriminatory words and actions. As part of this commitment, we urge all volunteers to learn about anti-oppression. A commitment to creating an anti-discriminatory space requires that we recognize that oppressions (for example, those based on race gender, class, sexual orientation, age, or ability) are embedded in social interactions and come into play in the bike collective space. If you hear offensive language or see discriminatory behaviour, either from a volunteer or a shop user, it would be great if you confronted it. If you don’t feel comfortable doing this, talk to another volunteer about doing so. more on anti-oppression!!!!! Volunteer Positions Door Person (DP) tools: clipboard, 14mm & 15mm wrenches duties: You keep track of people coming into the shop. Do this by keeping a list of people who want to use the shop and what they want to work on. Do they need a stand or are they just patching a flat? There should be no more than 9 people fixing bikes at once. This means 5 people on stands, 2 people patching flats, and 2 people truing wheels. You can help people take off their wheels at the door if they need to fix flats or do truing, and then they can lock their bikes outside. Try not to let people fix their bikes in the hallway; it’s a fire hazard. Keep track of who is in the shop, who is leaving, and who is next in line. Shop Volunteers There are various things that happen in the shop: helping/teaching people to repair their bikes, ringing up sales, helping people find new and used parts. Don’t feel bad if you’re unsure about something. We’re all learning. Ask another volunteer if they feel more comfortable working on the problem and if they can show both you and the user how to fix it. Or, if you feel up to it, admit that you don’t have much experience with that issue and suggest working on it together. Check in a repair manual or online at biketutor.comor parktools.com. When you’re done, get someone else to check over the work and make sure everything is working properly. Keyholder (K) Opens and closes the shop and is a seasoned volunteer. Mechanic (M) Has a decent amount of bike maintenance under their belt. Experienced Mechanic (EM) Has a lot of bike repair experience and will probably be able to explain the difference between an Italian and English bottom bracket and the inconsistencies of tire sizing. May also be a huge bike nerd, which is generally a good thing. They’ll be able to help tackle or give advice on more complicated repairs. Point-of-Sale (POS) Rings in sales and handles cash when necessary, otherwise helps people with repairs. Does not take I.O.U.s! Tips! Take a break once in a while and leave the room to refresh yourself. Be realistic and honest. Bike repair takes a lot longer than people think. Ask someone how much time they are willing to spend, and strategize you maintenance accordingly. If someone wants to overhaul their bottom bracket and fix their brakes, but have never done either before, brakes should be the priority. Don’t make assumptions. Ask people if they have experience working on their bike and if they want help. Hands Off! At the Flat, we are big advocates of a Hands Off policy, because it gives people a better chance of learning bike mechanics and it helps empower shop users to challenge themselves and break stereotypes. It means that volunteers do not repair bikes, they help others learn how to do bike repair. There are times when touching tools and/or someone else’s bike is okay. You are allowed to demonstrate how to do something or to offer an extra hand. If the shop user is unable to perform a specific task and they want you to try, that’s fine. Oftentimes it takes more than one try to to get something right or to learn how to use a tool. The slow and often frustrating process will be far more educational than just watching a volunteer quickly solving a problem. Urging people to keep trying is an imortant part of being a volunteer. We are not a bike shop: mechanical perfection is a priority, but it is not our primary goal. As a volunteer it is your responsibility to support the learning process. If you absolutely need to do something for the person, always ask if it’s okay, and give a detailed description of what you’re doing. Don’t underestimate another person’s abillities and desire to learn! Cleaning and Closing up Shop Please leave the shop clean after every shift. The more you urge users to clean up after themselves, the less work you will have to do at the end. If you try to straighten up the shop and put back tools throughout the shift, cleaning up at the end will be easier. If somebody has a mechanical issue that will take too long to finish or can be done better with more time, suggest that they come back another day to finish it. Check the time before starting a repair and gauge whether or not the person will be able to finish it before 8 o’clock. Cleaning Checklist: put away all tools. check the ledges above each stand. sweep or mop the floor. sweep after every shift. mop if necessary. put away any used parts that were left out. Get rid of parts that are not salvageable. clean off the front counter. Please keep tools, parts, and other stuff off this space. tidy up the back and new parts. take paper/cardboard/plastic recycling out to the bins by the TV McGill office. Frequently asked Questions where is the flat located? ssmu building b-02 3480 Rue McTavish when are you open? Mondays, Tuesdays, Thursdays 5-8pm collective meetings, wednesdays 5:30pm workshops: wednesdays 7pm (check the schedule on our website) who can use the shop? anyone can use the shop, whether or not they attend McGill. There is no membership fee or application process. where do you get your funding? for the last 2 years, we have applied for and received a portion of ssmu’s green fee, a student fee levy of $1.25 per semester, which is dedicated to green initiatives. We received $4700 our first year, and $4650 our second year. We also accept donations and make profit on the parts we sell. why do you make profit on new parts? We sell our parts at MSRP (manufacturers’ suggested retail price) rather than at cost so that we do not compete with other local bike shops, and invest profit we make back into the shop. who runs the place? there is no one person who runs the Flat. We are run collectively by a group of bike enthusiasts who share the responsibilities of volunteer coordination, finances, shop maintenance, etc. We make decisions by consensus at Wednesday meetings, in which anyone can participate. We don’t have a hierarchical structure because there are benefits in equal participation in the decision-making process. Givijng everyone a chance to talk about a decision fosters a collective feeling of ownership of the space and its processes. The consensus-based participation approach encourages people to explain why they hold a certain position. This allows people to revise their own and others’ positions through dialogue. People are more likely to contributre positively if they feel involved and valued. Basically, leadership revoles around initiative and effort???To become a collective member you must show a certain level of commitment and initiative. You do not necessarily need to bring any specifilalized skills, just a willingness to learn and contributre. This being said, you must contribute more than your opinion. An opinion or idea needs initiative to turn into reality. Do you sell bikes? Nope. Rather than being a retail bike shop, the Flat is a space where anyone can come and build or work on their bike. This way, the focus is on teaching and learning rather than profit. How long have you been around? The Flat (originally called SSMU Bike Collective) opened up as a Students’ Society of McGill University service in March 2008. Apart from summer renovations, we have been open 2-3 days a week since. Why do you have women and trans only workshops? We recognize that bike mechanics and knowledge exchange about bikes can be intimidating ventures. We also recognize that, like many other bike collectives and shops, we have an over-representation of male mechanics. To address both of these concerns, we reserve certain workshops for women and trans folk. We seek to develop a non-threatening learning space that will encourage involvement of all skill levels. These workshops address concerns expressed by many of our users. That said, women and trans folk are still encouraged to attend the workshops intended for everyone. Advocacy Resources Produced/Used by Community Projects

Some folks associated with MoBo Bike Co-op in Cincinnati are trying to put together bicycle advocacy resources into a sort of advocacy toolbox. Our goal is to produce something that could be used to equip or incite community members to do advocacy work/build community around bikes. I'm curious if any shops out there like ours have produced anything like this, and could share advocacy resources/ideas they have used. Those of you who do advocacy work of any kind: what resources/documents/actions do you use? Are community projects, specifically co-ops, producing anything of their own or simply borrowing resources from traditional advocacy organizations/clubs? In the spring we'd like to begin doing some off-site advocacy "workshops"- essentially group events with cyclists and community members who aren't currently connected with our shop community in which we'd provide resources and/or trainings on topics like 'how to organize group rides', 'advocating for better bike laws and planning in your community', 'encouraging new riders', etc. Any resources, ideas, tips you could pass along would be well-appreciated! Hi all, The Bike Depot is trying to come up with an evaluation tool for our Earn A Bike (and eventually Fix Your Bike, classes, and volunteers) program and I was just wondering if anyone else out there has a format and system that works. I looked around on the Wiki but couldn't find much. We are working on a simple pre and post program survey to start with, but with our EAB population are wondering how best to reach them after they have left our program and their probability of them actually following up with us. Also, for any group that is successfully using surveys, what questions are you using? We are looking mostly at health impact and quality of life improvement (able to get a job because of bike, etc.). Are there other evaluation systems you are using that work well? What do you then do with that information? Has it spurred you to change aspects of your program to have a greater effect? maintaining bike fleet

Hey, Does anyone have experience maintaining a fleet of bikes? Our city council members are acquiring 10 bikes, all mtn bikes in fair to good condition, and they would like to contract with our org to maintain those bikes. I'd imagine that their would be more upfront work getting the bikes safe and rideable and that the time spent after that would be less. What do you charge? Flat fee plus parts, supplies? Charge for services performed or just that flat fee? Contract looked over by the agency your working for and your lawyer? Maintenance sheet for each numbered bike to write in what work is needed I'm sure there are many more details! Dear Friends and Colleagues, It has been great to speak with some of you about your ideas for presentations at the Youth Bike Summit. Thank you for sharing your ideas and for spreading the word about the conference. I wanted to remind everyone that the deadline to submit topics for workshops is approaching. Cycling Charter of Rights and Freedoms

Does anyone have any information of a charter being written up in your community that would resemble a charter of rights and freedoms for cyclists. Im trying to get politicians to sign off on making cycling a better place for cyclists so that when people vote, they know where there politician stands on cycling. -- Geoffrey B
