Hey all, Really I just want to see the subject change, so I'd like to see folks throw out some ideas of wishes, dreams, plans and schemes they are hoping for in the new year. We at Pirates have a few - it always seems hard to implement drastic changes, so the new year seems a good excuse. Here's some things on our list: Changing our locks. there have been a number of key-holders who have come and gone, and we never changed the locks when we first moved into our building. Better security and a better system of designating key-holders is a top priority. Tracking sales. right now all of our cash just goes into the donation box, and not all new parts are *necessarily* paid for in full. We need to ensure we charge for all new items as well as (gulp) starting to charge all applicable taxes and track these sales! Do our taxes for the first time!!! Volunteer training. Right now we just have an orientation to introduce people to the space. We would like to have some basic training, including some anti-o/sensitivity and some way of designating who is a volunteer and who is a participant in the space. Any suggestions or input on the best way to implement any of these changes would be most appreciated. What are your goals for the new year? Ainsley and The Pirates.

Re: compiling information to be passed on! We are very lucky to have a volunteer at Pirates who is taking an independent credit for her environmental studies degree which will allow her to get school credit for doing 6-8 hours of work for Bike!Bike! over the next few months. We are going to set her up compiling information, logging contact info and addresses for shops all over the world, as well helping to prepare welcome info packages. more excitingly, she will be doing a lot of research into the previous years' conferences, contacting organizers and finding out how they organized themselves, what their model, budget, schedule, food and funding looked like. We are hoping that this information can be compiled in a manner than will be EASILY accessible and transferable for following years' organizers. As we have said many times here, reinventing the wheel is totally unnecessary but we need a clear, consistent way of transferring information to confidently avoid it. We know that every city will have to do things in a unique way, but are really keen to put together a package that can guide folks through the process of planning, especially in terms of time-lines and person-power. We will be reaching out very soon via ThinkTank for contacts from previous years to pick their brains. Ainsley. Something I've been working on lately is a template for organizing an event and/or a program. It seemed like every time we put on a class, or a workshop or an event, we had to reinvent the thing, since no one had taken notes on what worked or didn't work last time. We've come up with a pretty simple multi-page spreadsheet that helps parse out tasks, duties, and timelines for things. It allows us to document the procedure for setting up an event or class (say, an open house, or a workshop) and then keep track of everything that needs to happen, what allies you can rely on, what their contact info is, other resources, food donors, space resources, all of it. After the event, it's also vital to do post-event evaluations, and include that information in your spreadsheet. What went wrong, what went well, what did you forget? Then, the next time someone, or you, wants to do the event again, all you have to do is call up your template, and do what's on the list of tasks. This time, you'll have your notes on what you forgot the first time, who helped you last time, who was good at what task, etc. Every time we start a new project here at Community Cycles, we draw up one of these templates, and start plugging in dates and names and tasks. We use a simple Google spreadsheet, which makes it easy to delegate and share responsibilites, and see waht people are up to. We're getting to the point now where we're able to rely on the spreadhseet info to do the event again, and it's proven SO helpful. When it's time to put the class on again, you just get the plan out of the box, and go down the list. You've taken notes on it already, so you know that if you do everything on the list, then it will be at least as successful and professional as the last time you did it. This isn't specific to bike projects, either. I've imagined it fitting with my old office job for projects or campaigns that we worked on. I think it could even work on personal around-the-house projects if they're sufficiently big enough to warrant their own planning process. I'm working on a "demo model" that has comments explaining some of the inner workings of it. I would love to share it with anyone who's interested.
