Mike, We have 4 full-time staff, none of whom have contracts but 2 of us were hired with real job descriptions. We're revamping our HR policies this year and I would recommend doing that work with your board BEFORE hiring anyone, if at all possible. Contracts for paid employees?

We're stepping up and hiring a full time executive director for our organization. Question- do those with i.e. FT EDs have contracts for those positions? Do you structure their employment to include for ex. guaranteed time off etc.? Don't want to make a big deal of things but also wanting to avoid future issues by being as clear as possible about the relationship between ED and Board right from the start and a 'contract' of some sort seems the best way to start IMHO. These are available for free to anyone with one of the vouchers we provide to our social partners. Bikes with higher re-sale value are priced according to the market and sold to the general public to cover our overhead. Mental health and Volunteering

We have a regular volunteer with a number of diagnosed mental health issues. When helping people he is knowledgeable, enthusiastic, and friendly but gets carried away quite often and sometimes has strange ideas or ways of doing things. A while back I overheard him tell someone not to adjust their axle nuts during the month of August because the metal is too malleable then. I'm sure the person who was told this knew not to take it as reliable advice. The real problem is that he generally takes 1-2 hours to help someone patch a flat because he is so detailed and has so many rituals (cleaning the tire and rim bead with a soapy tooth brush). Other repairs are similar and often spiral out of control (while removing a tire he notices a slightly bent derailleur, and soon the derailleur and chain are removed to be straightened and rigorously cleaned even though the patron had no problems with shifting) Often this ends with frustration or on occasion results in a meltdown. I've had multiple direct discussions with him about 'how not to help people' (Don't take over their project, don't impose your ideas, there may be more than one right way to patch a flat) but this had had a limited effect. Does anyone have constructive advice to offer or experience from similar situations.

The space we've been given is one oversized garage bay with shelves on two sides, plywood wall on the third side and obviously the garage door on the last side. There are also 2x4 exposed rafters. Accounting for sales of donated bikes

People give us bikes, and we sell them. This is our main income. Should we be treating this/reporting this as related business income or as a donation (realized FMV of an in-kind donation)? What do you guys do? We have a fiscal agent. Let's say the answer does not affect their public support test.

Years past, now about 6 years, dc had wnbr (world naked bike ride), and as a capital of the supposedly free world, art lovers, bike lovers and just some different is not deficient bikers and media plus gawkers seemed to show up. Iirc from some backup paperwork handed me, a permit might be required for use of a park for setup (read dress down and media time) then almost CritMass like wandering the streets along the probably legally prescribed parade like route, while police and others hassle you to stay single file, just because, etc... Around art galleries were the kewlest, the white house and capital mixed results, but stops for photo ops. That said legal and other advocates may consider the startup opportunities and legal and social promises of that type of advocacy. Being now very warm outside, even without threats of global warming, and Chicago and other places having their acts together, I'd be remiss not to mention it. I participate in a student bike co-op in Lyon ( we call them "atelier velo associatif et solidaire") and just discovered that the american network was allready well-structured. Donation Boxes!

Hello again folks, I'm wondering if anyone has tips or suggestions on how to improve donation box revenue. We just have a simple box with some boring laminated signage, and I'm wondering if anyone has eyecatching, creative, or clever ways of getting members to actually stop, think, and donate a little more often? We have a $5 lifetime membership, and parts are largely by donation, but the box itself goes largely unused, and our volunteers and members end up putting it in the cash box more often than the actual donation box Let me know, send photos, whatever you wish! We use cheap Kryptonite locks from QBP for our kids programs - our "Rodeo" large group programs get combo locks that cost us ~$3.50-4.00, and our Earn-A-Bike program kids get nicer resettable combo locks that cost us about ~$8.00. Not as secure as chain/padlock, but less intimidating to hand to an 8 year old.

Hi All! Interbike's way, way around the corner, September 14th-18th with the Outdoor Demo the two days before. As you probably know, the industry's dog-and-pony show is a great environment for Collectives to meet retailers and shop owners and let them know about all the great ways to get involved with what we do on a local and national level. Last year we didn't get a ticket confirmation until the LAST MINUTE, which was annoying, so I wanted to reach out to the network early this year with two things. 1. Would you like to go and get a (free) ticket through us? 2. What resources should we bring to bear and share with the cycling industry? *1. If you'd like to go, sign up on this sheet <https://docs.google.com/spreadsheets/d/1mcqVNpCdwITiXhBM5RORTaklCbTnj2BZgSr…> and fill out the relevant tabs. *So if you're needing a hotel room, put yourself down in one of the slots, we aim to put 4-6 people in each room to keep 'em cheap. If you're looking to carpool, put down your arrival/departure details and room in your vehicle, if applicable. Going to Interbike with us comes with responsibility: Firstly, everyone attending has to sign up for two shifts at the Bicycle Collective Network booth (*third tab below*), where we'll be representing the Bicycle Collective and the Alliance for Walking and Biking. Secondly, we will not tolerate conduct that doesn't represent us favorably to the rest of the bicycling industry. Being inconsiderate of an exhibitor's time, heckling for swag or deals from people you haven't developed a relationship with or who haven't clearly offered that sort of thing, or generally behaving like a child will earn you a boot from the show. More details here! <http://ohiocitycycles.org/index.php?option=com_content&view=article&id=21&I…> As part of our currently underway, grant-funded strategic planning process, we've decided to suspend and likely phase out the loaner bike/parts system, and prior to that, we made the decision to make access to our shop and tools public, since we were ALWAYS making exceptions to the 'members only' rule to allow people to work on their own bike with our tools. With regard to shop use, our working policy that will be revamped over the next couple months is that we allow people to check out tools and a stand for $5/hour and we assess fees if they need specific assistance, such as $5 to show a shop user how to install a derailleur. The snafu comes when someone thinks they don't need help but then they do, since we have a finite capacity to assist people with everything else going on. We're currently encouraging appointments during lower traffic times for 'assisted shop use' and otherwise operating on a first-come, first-served basis. We may end up restricting shop use hours in one way or another as we're currently understaffed and don't derive much income from shop use. Regarding the income derived from membership, ours was always fairly low - maybe 2% of our operating budget based on my memory. We're instead planning to shift towards a 'donor level' system. I personally like Bike Depot's system here <http://www.thebikedepot.org/index.php/support/memberships>, though they refer to theirs as membership levels and have 'members only' benefits that we plan to forego, instead encouraging people to give what they can at some predetermined levels, or at their own level, but illustrating at least a theoretical connection between the amount someone contributes and what that amount can support in the context of our programming. We currently have paper release forms which include time out and time returned, but we schedule using a Google calendar and a Google form for sizing information for our "Performance Rentals." We're scaling back our rental program, though, and I would not be surprised if we phase it out or dramatically simplify it. We've historically loaned out bikes for free to members, but we're phasing out membership and I'll be happy to see the end of people borrowing bikes and returning them late/beat up/etc and not doing their share to re-tune them. Also, it will probably mean that we'll sell/let volunteers earn at least some of our coveted rental bikes, and they'll then get used all the time rather than a few times a year. Relatedly, we are phasing out our parts library, as well, which often had similar results: underutilized except for well-meaning but problematic users who kept things out too long or needed to be reminded to return something.
