Free Cycles Missoula approach, for now: -the 12 open and free public stands each have the following: 7,8,9,10,13,14,15mm wrenches; screw drivers and plyers (we used to have 7-17mm, yet 11,12,16 not used much) -we have a central board with many more tools that are shared, like BB, Headset, cone wrenches, etc. (we keep an eye out for improper use and an ear out for the hammer). we only have 13, 15, 17 cone wrenches here. (plus 17mm box wrenches) -we have a more secluded board with specialty tools, and folks need to ask us -we have lube, grease, cleaner, rags, allen wrenches all in the middle of the shop. we half jokingly refer to this spot as the watering hole. everyone needs to come to this spot and bump into one another and say hello. -one bigger board/public station has 7-17mm, plus english wrenches. this board is more for kid bikes and cruisers, which tend to need more wrenches. We built new benches when we moved two years ago. We shadow board all tools and colour code them to the bench. Makes putting things away easy for people new to the shop. All five benches have the same tools and layout. Holes in the side of the bench for penetrant, degreaser, etc. Screw drivers are also in the bench which people have a hard time finding. Pretty pretty with how these work for us! electronic volunteer sign up

Hey folks! Our Community Bikes in Vancouver, Canada, is looking for a way for volunteers to electronically sign up. We have some limit to how many volunteers can access the space at the same time each day, we tend to spread the labour around a bit, and we currently have used a few online services that can link to our website, but doesn't link with our current staffing calendar and event calendar. For that we are simply using a google calendar. But I'm wondering if anyone has had success with some type of really easy to use interface, that generates reports for metrics 'n stuff, and that is very user simple. hmm? Jesse

Just those two parts are off base. Our policy is that we have no right to control bikes brought in by participants, and that should be morally obvious. Where we do have rights is with the bikes and parts we hold, and the extreme importance of _not_dying_in_traffic_ incentivizes rules and restrictions about the condition of bikes rolling out into the street. We all probably remember some lofty gilded time in some anarchic community shop in a garage or low rent strip mall where the craziest bikes were built and of the street rogues that inhabited the place flew out the door on those mobile experiments without a care. But now I'm in a place where people's children come to my shop with the intention of riding out the door and into the street, and over a decade of experience has shown me that kids (and a lot of adults) too much of the time just don't care about functional brakes, or even understand how brakes should feel, even when the culture at the shop is pervaded by common sense, patient instruction, and good examples. Drawing hard lines about bikes we legally own and have full rights to exercise control over makes unassailable sense considering that lives are at stake. Similarly, while some shops may have donors willing to dole out tools limitlessly, more do not. I don't hold that our shops are effective without tools, or that participants own the expensive tools that others fought hard to gain. There has to be an understanding on the part of the participants that they have a responsibility not to damage the entity that shelters, educates, and empowers them. Not everyone just naturally takes care of free things. Most participants don't intuit that the specialized free remover wrench cost $30 or that the Tire seating tool is rare and costs over $50. It isn't anyone's right to abuse or mishandle the shop's tools. I think these things are all self apparent. The spirit of these two lines seems more about not being dominated by pushy condescenders, mansplainers, or the like, and about guaranteeing the promise of power and freedom. By asserting the participant is the owner. At our shop we assert that very thing emphatically. We just don't do it before the participant has a safe bike in their possession and before they know the difference between a suicide lever and a disc brake, or to put a finer point on it, between aluminum rims whose walls are about to cave in and ones that have years of life left in them. Anyway, the lines both could probably be replaced by a single one referencing something reaffirming the purpose of the end goal, that being the participants ultimate (rather than immediate) empowerment. I'm a bit too tired atm to come up with some good wording for it. But attached is our participant policy. That having a "policy" rather than "bill of rights" focuses on the authority of the shop more than the autonomy of the participants is not a detail that is lost one me, but I still think you might find our premises useful. Liability Waivers

Looking for some examples of liability waivers for repairs and/or totally gifted bikes. I work with a group of folks that flip bikes and do repairs for individuals in need. Unfortunately we are only able to operate at our space for a few hours at a time and usually cannot store or take bikes over night. Due to the severe disrepair of some of the bikes we come across and our limited time with them often we are not able to get them in the complete repair that we would hope. Any co ops or collectives out there use these? What should or should not be included? Thanks

bulk service/repair contracts

Hey folks! I'm looking at drawing up an annual tune-up/repair contract with a school division for their 80 bike fleet and I've never written up anything like this previously. I couldn't find any examples of bulk repair contracts on thinktank and am wondering if anyone has an example document I can riff off of, or experience around this. I imagine it's not the sort of thing that I'd want to miss anything important and end up in the hole on. Would greatly appreciate any advice that anyone could give. Thanks! In a corner of our shop we keep specialty or large tools on both a labeled board and in toolboxes. For patrons new to our shop or unfamiliar with the tools, volunteers usually grab the tools. Otherwise, we keep everything labeled and (hopefully) easy enough for folks to find. Pics attached! Looking for HR and Compensation policies

Urban Bike Project of Wilmington, DE is growing and we need to get better policies in place for addressing HR and Compensation issues. As a member of the Board of Directors and an active volunteer I'm charged with developing some policies, procedures and guidelines for managing employees, including roles and responsibilities of Board members and the Executive Director. If anyone has documentation that you are willing to share to give me a leg-up, that would be great, TIA, Mike

Health Hazard from Drum Brakes

Hi everyone, I recently came across a vendor selling a drum brake[1] where they claimed it had "No asbes" i.e. no asbestos. This led me to search about asbestos in bicycle brakes, and indeed it's a thing: http://santanatandem.com/Library/AraiDBrakeIns.pdf <http://santanatandem.com/Library/AraiDBrakeIns.pdf> (go to page 2, paragraph 4 in "Service") The quantity is small and it's not friable, it's solid chunks (like old chemistry lab benches) which pose no actual hazard. Unless you are frequently overhauling these drum brakes with abrasives & sucking in the dust, the risk should be negligible, but it's good to know about. If any shops out there have a bin for drum brakes, I'd suggest putting a warning label on it, or attaching a tag to the individual brakes if they are in a mixed bin. We at the Elyria (Ohio) Bicycle Education Center are pretty new to much of how to run a coop and shop. We appreciate the collective intelligence being shared here. We are looking for a good and inexpensive way to display bikes in our front 'sales room' without relying on kickstands to hold up the bikes (some have'em, some don't). Willing to build wood racks or whatever but have not seen anything reasonable yet. Sorting parts/bike storage/safer spaces

Hey folks, I have three questions that I’m hoping to get input on: 1. Do any of you have good resources with pictures and text about what to look for when you are sorting through old parts and trying to determine what to keep and what to scrap? I am looking for something that I can use to help train volunteers as a guide for them to follow when they are going through old parts bins. 2. I am looking to build the cheapest possible medium-term bike storage that allows me to use some vertical space. I was thinking essentially just a platform that would go against a wall and bikes would be stored underneath and on top. This is for bikes we are building up now to sell in the spring so we want to pack them in and likely will take off pedals and re-orient handlebars. If anyone had a simple plan to follow it would make my life easier. 3. I’m wondering if any folks have good policies, processes or training for ensuring that your spaces are safer spaces for women, people of colour, LGBT2Q*, people with disabilities, newcomers, refugees etc. I am especially wondering how to make sure that it is easy to bring volunteers on while ensuring there is some sort of training or code of conduct to ensure that they know how to help create a safer space. Input on Tasks for Drop-In Volunteers

Hello Pals!!!!!!!! Systems are shaping up at the Mechanical Gardens in NYC, and we're looking to develop more structure for drop-in volunteers. This includes irregular volunteers and regulars too. *What are some of the ways **you'd recommend **to do this well?* And what resources can you share? - PDFs of handouts from your shops or snapshots of things like task boards would be super helpful, as would other advice! - We want a balance of "low barrier for entry" tasks and "guidance or skill required" tasks. - We would love to hear your insights on how to frame these things to be learning and empowerment experiences instead of just "hey do this thing bye" or "hey do this thing while I hover over you." ALSO ALSO PLEASE LOOKIE: We're posing this as a question to everyone, *but* would primarily love to hear from some women/trans/femme/gender non-conforming organizers, if anyone who identifies that way is inclined to jump into the thread. Pedagogic tools on bike mechanics

Hi everyone, Cyclo North-South is a community organization in Montréal, Quebec (Canada) that collects used bicycles in order to give access to a way of transportation for people with low income and/or marginalized, through local and international projects. In each projects, we try to reinforce bike mechanics skills of our partners and people receiving bicycles to make them more autonomous since the ressources (bike mechanics, incomes) are very limited especially in rural area. One of the issue of our partners in Africa and Latin America is that they don¹t have easily access to pedagogic tools on bike mechanics. We are currently working on gathering what already exists (local and international) regarding pedagogic tools on bike mechanics (printed or other types) in order to either share those tools to our partners either adapt them so they can be used by youths and general public that is in Togo, Ghana, Haiti, Ecuador, etc. The objective is to provide a teaching tool that includes a guide on tools, tune-ups and repairs. Maybe even a document you use at your shop? I'm thinking about making a rudimentary consensus comic and could use help in the way of references to consult. Every google search result about consensus is like "here, read this long document for the next three hours," and in those documents, the "How To" steps are buried in like ten million words about guiding principles. Here at Blackstone Bicycle Works we’re looking for a program manager. If you don’t already know us, Blackstone is a community bike shop and youth program on Chicago’s south side (you can also check out our instagram <https://www.instagram.com/blackstonebikes/> to get an idea of what we do). Over the years the youth program has expanded to include after school and summer programming, gardening camp, physics classes, cooking classes, art on Fridays, a cyclocross team, shop internships, externships with other shops, college advising, career field trips, and even college scholarships. Additionally, the youth are vital to the running of the shop, learning mechanic and business skills, and earning a bike after their first 25 hours in the program. We’ve been successful enough that nearly all of our paid mechanics have come up through the program! That said, there’re lots of ways to grow and improve the business and our youth programming. Dear Community Bicycle Builders, Starting November 27th, 2017, the Center for Appropriate Transport in Eugene, OR will be hosting a 4 month long live-in apprenticeship program. Apprentices will learn the frame building skills necessary to fabricate their own Tri-Hauler, as well as the entrepreneurial skills to use their Tri-Hauler for a pedal-powered business venture of their choice. Apprentices will become competent fabricators learning to weld ( TIG and brazing), machinists, industrial sewers, gardeners, CAD users and more. Automated bike sharing programs

Hello everyone! It seems our university finally got the idea on making a bicycle sharing program within campus premises. We are investigating which are the best/cheaper ones to launch it soon. We have seen the zagster and the bike docks that are unlock via a smartphone. We dont have much information only that they want it to be automatic and with aprox 70 bikes for starter. Bike Trailer for Transporting Bikes

Hi folks, I'm on a campus where our main location is small and our warehouse location is far enough away that it's a pain to bring parts and bikes back and forth. I'm looking for plans or the actual trailer for sale for a bike trailer that can carry complete bikes. I would also be interested in hearing from folks who have transported bikes by bike. Is this a situation where an e-bike might be required? Mikey, Cycle Transitions is having challenges finding a suitable location at a reasonable cost so we're looking at alternative models to the traditional fixed location. One of these is a storage unit plus a mobile workshop - whether that be a smaller one pulled by a bike or a larger one either pulled by a vehicle or is a panel van of sorts. Ideally the unit would be able to meet the needs of servicing most repairs and and/or have the equipment for the safe cycling courses we do out on location. Hi, We've started to offer basic 'health checks' (gear and brake tune ups mainly, plus diagnosing major issues and signposting to servicing/fixes outside the scope of these checks) from a mobile rig Previously carried a Park Tools stand under one arm and had all tools in an army rucksack and cycled to events - not ideal though for my back (and couldn't ask volunteers to do the same really!) I modified a broken trolley I found on the street & made a mini tool rack from leftover trolley tubing, broken broom handle and a bit of aluminium plate Also affixed another plate to the bottom of the Park Tools allen key holder to make a benchmounted holder All the tools fit in the Park Tools box as shown Gloves and lube, folder, first aid kit, rags, etc carried in the army rucksack Trailer easily carries two workstands and tools, could probably carry 3 stands with no problem Added detail of the hitch if useful... Maybe a smaller scale than what you're doing? Hi All W e have had our BikeMobile, a mobile bike shop on wheels, for a few years. It is a 24 foot step van ( the same size and type as a fedex truck) we received a grant and donations for the truck and build out. We operate on sliding scale basis and do both full price and free services fairly well.
