We have considered a paid staffer to be an eventuality for some time now and with our funding hurdle less of an issue and volunteer coordination/open-hours more of an issue this is our next priority. A paid position, if done well, is one way to alleviate this. Bullet points from all responses (on and off list): - Clear and reasonable job description - Quantifiable goals - Keeping in mind this is not an end-all-be-all solution - Outline the first employee and consider the evolution to next, and next employee to follow - A "benevolent dictator" would be well-suited - Entrepreneurial and self-supporting - Bike knowledge is less important than people and networking knowledge Our board's past discussions have bounced back and forth between defining the role as "shop manager" or "executive director". Finding someone who is good at either would more than likely suit us well but finding someone who is good at both would probably mean they're not performing 100% at either defined job. I have collated all your responses along with others received off-list am taking this for discussion at our board meeting next week. Paid Staff - Where to Begin

I am soliciting the advice of fellow cooperatives who currently employ paid staffers. Our organization has grown enough in it's 10 year history that we are prepared to bring on a part time paid staffer for the summer and fall months of next year. If there is anyone who would feel comfortable chatting with me either via a series of emailed questions or over the phone I would greatly appreciate it. Our goals with a paid staffer are primarily to alleviate the task of some of the less enticing jobs from our volunteers, to set the stage for being open more hours, and to dedicate a resource to further develop fund-generating streams like eBay and Craigslist. We considered this fairly extensively, including drafting a few designs and pricing the parts/toold/time to put it together. We found that it was MUCH simpler and about the same cost to get a Fixit Station from Dero. When I approached the Transportation Demand Management Planner for the City and told her about the project, they were actually really supportive of the idea--Peterborough now has four Fixit stations which were purchased by the city and our shop is paid by the city to maintain them! That said, the vast majority of people using the station use the pump. We have had many problems with the Dero pumps and actually just replaced them with the outdoor gauged pumps from Fixtation. So far, we are really pleased and they work very well. The teens had just traveled to Washington, DC for the first time ever to attend the League of American Bicyclists’ National Bike Summit. While they were awe-struck by all they had learned – from the Safe Routes to School bill, to lobbying elected officials on Capitol Hill, to exploring the nation’s capital by bike, and even to meeting mountain bike pioneer Gary Fisher – they couldn’t help but wonder where all the young people were. For if bicycle policy affected all cyclists, then certainly all cyclists should be represented at the decision-making table. As the team debriefed their experiences, a blueprint for the Youth Bike Summit began to emerge. While the teens initially hoped for a moderate showing of youth, educators, and bicycle advocates from the New York area, it quickly became clear that the the Youth Bike Summit would attract a much broader audience – from near and (very) far! For each and every year that followed, the Youth Bike Summit, its impact, and its momentum, continued to grow. Friends and allies, Bike Pirates would like to announce that we are currently in search of a new home for 2015! We are excited to start a new chapter and to have you all along for the exciting years ahead. Our hope is to be settling into a new, bigger and better space in January which should have the least impact on our operations. But we need your help! We will need hands to help sort, pack and move out of our home on Bloor Street. We will also need lots of help and skilled individuals to help build and set up our new home. To cover the predicted costs of moving and renovating and lost income during this transition period we will be launching a fundraising campaign in the next few weeks. Hi all, We at the Durham Bike Co-op are on the market for a new shop liability insurance carrier to cover our assets, our volunteers, and their assets. What carrier have you had good success with? Who should we avoid? And to those shops that don't carry it, holy crap, I totally suggest you should. We recently had a patron's health insurance company come after us because of an accident on our premises, and saved us a good amount of hassle by having our insurance deal with it. Heya Heya Spokes, We are in the process of looking for a new space that will fit all of our activities and bikes!!! We hope to have enough room for a shop with 4 bikes stands, workshop delivery, a small retail sales areas for parts and swag,about 20 recycle-a- bikes, and 20 rental bikes. For any of you out there that have a good size space would you be able to send the dimensions of your space? We are trying to figure out how much room we need!! I remember visiting Our Community Bikes in Vancouver and Goodlife in Calgary which both have good sized spaces but I have lost the direct contact information to ask them directly so if anyone from either of those organizations are on this list I would be really curious about the size of your locations!! Regional Bike!Bike! LCI training

Hi All, In the process of planning our regional/mini Bike!Bike! in Boise, we had an idea we'd like to put out and see if there's interest. In addition to the conference, we're considering leading an LCI Training session <http://bikeleague.org/content/become-instructor> for any attendees who would like to get certified. What this would entail/require: LCI candidates would have to 1) attend a Traffic Skills 101 class at home (Start your search here <http://bikeleague.org/bfa/search/map?bfaq=>--might need to do a little digging in your community) and bring your completion certificate. 2) stay in Boise 3 days after the conference (we provide housing) 3) pay $300 registration fee Both the "regional" conference and the LCI training would be open invitation to anyone in the bike!bike! community (though the LCI status only applies to U.S. residents.) How many here might be interested? I'm asking because we'd have to start the process soon, to schedule a trainer and get the League on board. I'm happy to answer any questions for anyone who's unsure what LCI status entails or whether it's worth it. I'd say, in my experience, it's definitely worth having. Good Afternoon all, I was just wondering what shops out there have specific shop nights dedicated to a specific group of individuals...Do you have literature you hand out to folks who ask questions about this specific shop night? How do you run it? I would like to host an evening where folks who identify as women/trans are able to come work on/learn about bike maintenance/safety in a welcoming environment... Any info is helpful. Especially concerning how you respond to negative comments pertaining to such evenings... I hope everyone is well and thank you, in advance, for any information. I want to increase the availability and number of bikes in a neighborhoods. I am writing an agreement with a couple of community centers with these requirements: 1.During the winter they have to provide transportation to a build-a-bike class for kids. Hopefully, about 40 kids total will want to do because the centers will have to pay to get a bus. 2. I will give the community centers approx. 15 or 20 bikes. They will have to maintain the bikes, and have weekly rides with adult ride leaders. 3.I will teach ride safely classes 4. I will need them to collect relevant data, which I need to use later. Programmer for Volunteer scheduling application?

A volunteer began working on a web-based application that I would describe as a combination of Doodle and Meetup. It draws from Google Calendar to create events, which can then be modified with data such as staff requirements. Reminders are emailed to volunteers, who can then click links directly from their email to sign up for shifts and events without having to log in. They can bookmark a link to view their calendar with shifts they've signed up for. Somehow, the volunteer who was working on it disappeared completely and is not responding to any attempts at contact after several months (we're a little concerned). The program seems to be about 75% complete, it functions on a basic level. You can see it at http://volunteer.meinstein.org The code is posted online at https://github.com/jrkoch/volunteer . The programming language appears to be Ruby on Rails 4 (I don't know nuthin about this). I am reaching out for assistance with completing this program because I believe this would be a very useful application for our organization and possibly for others on this list (and beyond). If anyone has alternate recommendations I welcome them. I've already checked out VolunteerSpot and it seems to require entering events manually, and since I'm already doing that on Google Calendar, Facebook, and Meetup, I'd rather not do that, too. Changing Membership rules

Our bike shop has never paid rent to the church that houses us, in our 12 years of existence. In an attempt to change that, we have just recently changed our membership scheme away from volunteer hours for membership to paid memberships. We're only charging $30/year (and they get a t-shirt). And we're getting lots of new members. But some of the guys who have been around for 3 or 4 years were previously told that they had membership for life due to their many volunteer hours. I don't want to discount what they've done for our shop in the past. But I am also attempting to change some of the culture of our shop, a culture that had become a bit of a boys' club where the old guys got to do exciting stuff like fix bikes and new members got to sort small parts. Super Advanced Planning for Bike Tour To B!B!15 in Guadalajara

Hey ya'll, During B!B!14 I had regrets of not biking to Columbus. I started saying that no mater where 2015's conference was I was going to bike (at least some of the way) there. What looks to be the most feasible to me is flying into Mexico City and biking the 350 miles (563 km) to Guadalajara. That might be around 5-7 days. Anyways I wanted to know if other people have interest in touring to Guadalajara, know of any good routes though that part of Mexico, or can help me plan the best trip I can? I would love to be part of a good sized group because to me biking is a social activity. I know it's early, and we don't even know when it's going to happen, but I just want to start thinking about this now, so next year I'm not planning a trip last minute. -erk nashville, tn

Hi all, During Darrin's session (about making decisions in groups/bike!bike! organizational structure discussion) I volunteered to compile all of the extant material that has been used by and resulted from previous iterations of bike!bike! So, I'm putting out a call. Have you aided in organizing a Bike!Bike! conference? Even if you aren't affiliated with the hosting organization, but helped from afar, I can use documentation of anything that helped you. Share your shop policies?

Community Bikes in Charlottesville, VA has been operating without any major written shop/board/manager/program policies since it's existence. With a large donation coming we are trying to get some of our ducks in a line and draft a good policy for a functioning shop. We were wondering if any other shops could share some of their policies so that we could see if we are missing any major language or ideas. I know each policy would be unique to each shop, but we need some rough guidance and help to make sure we do this right. Any help is appreciated, including references to think tank discussions that I do not know about. Thank you! -Annie D.

Reno Bike Project is hiring an AmeriCorps VISTA as the coordinator for the Major Taylor Program. VISTA (Volunteers In Service To America) is a year-long commitment to serve a community in capacity building and works to change the cycle of poverty. The goal of the Major Taylor Program is to teach participants the skills and knowledge that will lead them to become life-long cyclists. The classes are offered in groups of 10 to provide an in-depth introduction into cycling. Currently classes are offered as a high school PE credit, benefiting participants both physically and academically. Now in its third year the Major Taylor Program has seen consistent growth. Currently partnered with a local charter high school and youth shelter, we aim to expand to two or three more schools in the coming year. Member Duties: AmeriCorps VISTA members will expand the scope Major Taylor Program by: 1. Developing partnerships with staff, administrators, teachers, after school program leaders, at target High Schools to facilitate recruitment of program participants. 2. Further develop existing curriculum to fine tune lesson plans and materials for the program. 3. Recruit volunteers to escort group and training rides. 4. Through the experience of observing and interacting with program participants and under the direction of the staff member conducting the instructional time, improve the overall flow of the class sequence and fine tune materials curriculum. 5. After working knowledge of the program has been gained, engage in the search for funding and bicycle donation process for this program. Using Freehub?

Hi All, I just started trying to use Freehub to track our Shop's members. I thought that I had previously set up an account but wasn't allowed to log in. When I requested the email to reset my password, I received nothing. So, I set up an new account with my personal email address. As I was adding members' info, I got a message in a banner at the top of the screen saying: Your account is pending activation. We've sent an activation email to y***(a)hotmail.com. Check that email account and your spam filter for the activation email. I've checked and rechecked my hotmail account, but I also didn't receive that email. Any thoughts on what to do, and if there is a bug, any hope it will be fixed? I attempted to join GitHub, where it looked like I should report problems, but it is way too technical for me.
